Job description

Administrative Assistant II - Ses - 80052230

This position is assigned primarily to the DJJ Headquarters Lead Personnel Attorney and the DJJ Headquarters Lead Contracts / Children-in-Need-of Services (CINS)-Families-in-Need-of Services (FINS) Attorney to provide administrative and secretarial support in a variety of duties and assignments, including :

  • Drafting, reviewing, and proofreading routine legal documents, memoranda, and correspondence.
  • Maintaining and scheduling for attorneys' calendars.
  • Copying, scanning, and organizing documents for trials, projects, and meetings.
  • Answering office telephones; transferring calls; and taking messages.
  • Collecting and distributing mail, faxes, and packages.
  • Overseeing and maintaining the upkeep of office inventory and office equipment.
  • Reviewing documents and redacting confidential and exempt information.
  • Maintaining and updating the office records management systems; and
  • Performing other related duties as assigned.

Minimum Qualifications :

  • Currently employed by the Florida State Personnel System (SPS).
  • Knowledge, Skills and Abilities for This Position Include the Following :

  • Knowledge of office procedures and practices.
  • Knowledge of the principles and techniques of effective verbal and written communication.
  • Ability to use standard business formats and styles for letters and business forms.
  • Ability to use Microsoft applications (Word, PowerPoint, Outlook, Excel, etc.)
  • Ability to operate general office equipment.
  • Ability to handle confidential information.
  • Ability to use correct spelling, punctuation, and grammar.
  • Ability to establish and maintain effective working relationships with others.
  • Preferred Qualifications :

  • At least two (2) years of experience working in an office setting.
  • Special Notes :

  • All prospective candidates will be subject to a sex offender check, criminal background checks (state, local, and national) and pre-employment drug screening for direct care position.
  • DJJ participates in E-Verify (Employment Eligibility).
  • When identified on a position description, a valid driver's license is required. If initially hire with an out-of-state license, the Florida resident must obtain a valid Florida state driver's license within 30 days of hire. Licenses suspended or revoked for any reason, work permits (business purpose / employment / education only licenses) and some @types of restricted licenses are not acceptable. Licenses that have Corrective Lenses Restriction are acceptable, provided that the drive wears corrective lenses while operating the vehicle.
