A major public transit authority is seeking a Legal Operations Administrator to enhance the efficiency, integrity, and technological effectiveness of its Legal Department.

About the Role

Reporting to the Legal Business Administrator, the Legal Operations Administrator plays a key role in optimizing the Legal Department's systems, workflows, and compliance frameworks. This position ensures the secure handling of confidential and privileged information while driving innovation and efficiency through process design and technology integration.

You'll collaborate with attorneys, leadership, and external partners to support legal operations, data integrity, reporting, and technology initiatives that strengthen the department's strategic and day-to-day effectiveness.

Key Responsibilities

  • Administer and maintain confidential legal case management systems (e.g., Law Base), including records creation, workflow design, and critical deadline management.
  • Oversee e-filing and docketing processes to ensure accuracy, compliance, and timely submissions.
  • Develop and refine standard operating procedures for case and data management to safeguard privileged and confidential information.
  • Lead enhancements to legal systems, dashboards, and reporting tools that improve compliance and decision-making.
  • Serve as the department's primary technical resource, coordinating with IT and Cybersecurity teams to resolve issues and implement solutions.
  • Support onboarding of new legal team members, including equipment setup and system access coordination.
  • Collaborate with Procurement and Finance to track legal budgets, contracts, and confidential matters.
  • Manage vendor relationships and support modernization of manual tracking processes.
  • Prepare recurring and ad hoc reports summarizing key legal metrics, spend, and system performance.
  • Partner with internal stakeholders and vendors on legal technology rollouts, migrations, and user training.
  • Maintain comprehensive training documentation and standard operating manuals.
  • Ensure strict adherence to privacy, confidentiality, and HIPAA compliance standards in handling all legal data.

Qualifications

Minimum Requirements :

  • 3+ years of experience in legal operations, paralegal, or legal administrative roles.
  • At least 2 years of docketing experience.
  • Experience supporting senior attorneys or executives.
  • Proven ability to handle confidential and sensitive information with discretion.
  • Proficiency in legal technology platforms and Microsoft Office Suite.
  • Preferred :

  • Bachelor's degree.
  • Experience with public sector, transit, or large institutional environments.
  • Familiarity with federal, state, and local court procedures (DC, MD, VA).
