We are in need of an office assistant to help with project assignments, job scheduling, and all-around project coordination.
Job description :
We are looking for a reliable individual to join our team. They will undertake administrative tasks, ensuring the rest of the staff has adequate support to work efficiently.
The ideal candidate will be competent in prioritizing and working with little supervision. They will be self-motivated and trustworthy.
The project coordinator ensures the smooth running of our construction / restoration projects.
You will be dealing with Insurance adjusters, homeowners, contractors, etc.
Responsibilities :
Greeting walk-ins and professionally answering phone calls and directing them to the appropriate department / taking detailed messages
Accepting new assignments and calling homeowners to schedule inspections
Inputting new customer information into our system
Assist office manager in day-to-day processes
Assist sales department with proposals, follow-up, and contracts as assigned
Manage calendars and confirm appointments for the sales team
Manage phone calls and email correspondence
Updating project notes daily
Assist colleagues whenever necessary
Skills :
Proven experience as an office administrator or office assistant
Outstanding communication and interpersonal abilities
Prioritizing, time management and organizational skills
General computer skills, with the ability to learn software programs
Monday - Friday 8 : 00 AM - 4 : 00 PM *Work hours can be flexible
