Coordinator, Member Experience
The Coordinator, Member Experience provides essential administrative and logistical support for ADSO's membership operations and event portfolio. This includes assisting with renewals, communications, committee logistics, membership services, and marketing efforts that enhance member value. The role also supports live event logistics, sponsorship fulfillment, and the preparation of materials for the Event Curriculum Committee in collaboration with the Manager of Member Experience.
Key responsibilities include :
- Execution of annual membership renewal campaign and assistance in producing related reports.
- Delivery of member engagement programs.
- Coordination of member newsletters, email campaigns, and marketing materials.
- Providing event logistics support including sponsor tracking, speaker coordination, production materials, on-site execution with third party vendors.
- Assisting with scheduling and agenda preparation and minute-taking for Event Curriculum committee meetings.
- Maintaining member database accuracy and ensuring timely updates to contact and engagement records.
- Managing administrative functions to ensure operational efficiency.
- Collaborating with graphic designer to ensure consistency of brand and visual assets across member and event communications.
Professional experience / qualifications include :
Bachelor's degree or equivalent experience.24 years of experience in association, communications, or administrative support roles.Strong organizational and writing skills, with ability to manage multiple projects and deadlines.Proficiency in AMS / CRM platforms and marketing tools (HubSpot preferred).Experience supporting live events or committee operations preferred.Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).Proficient in database and communications systems management.Extremely organized with strong attention to detail.Ability to meet deadlines.Excellent communication skills (both verbal and written).Excellent customer service and ability to work with members in person, on the phone and electronically.Comfortable in a fast-paced environment and able to manage multiple projects.Exceptional problem-solving capabilities and resourceful under pressure.Ability to work both in a team environment and operate independently.Travel to occasional in-person team meetings and / or annual meetings is anticipated.
This is a largely sedentary position that requires the ability to speak, hear, see and lift small objects up to 20 lbs.
