Senior Executive Assistant - Direct Hire
$95k - $110k Salary
Hybrid Schedule - Pasadena, CA
Key Responsibilities :
Provide comprehensive executive support to C-Suite leaders, including calendar management, meeting coordination, travel arrangements, and expense reporting.
Serve as the primary liaison between executives, board members, senior management, and key external partners.
Coordinate and prepare materials for executive meetings and board sessions, including agendas, reports, presentations, and minutes.
Manage confidential and sensitive information with the utmost discretion.
Anticipate executive needs and proactively manage priorities to ensure strategic alignment and workflow efficiency.
Oversee logistics for board and committee meetings, including scheduling, communications, catering, travel, and accommodations.
Support company events, leadership offsites, and high-level meetings to ensure seamless execution.
Draft and proofread correspondence, memos, and presentations with attention to detail and professionalism.
Track and manage key deadlines, initiatives, and deliverables for executive leadership.
Collaborate with HR, finance, and operations teams on cross-functional projects as assigned.
Qualifications :
Bachelor's degree in Business Administration, Communications, or a related field (or equivalent experience).
5+ years of experience supporting senior executives or board members, preferably in a corporate or nonprofit setting.
Proven ability to manage multiple priorities and adapt to shifting demands with composure and professionalism.
Strong written and verbal communication skills with excellent attention to detail.
Proficient in Microsoft Office Suite, Google Workspace, and project management or collaboration tools (e.g., Asana, Monday.com, Slack).
High level of discretion, integrity, and judgment in handling confidential information.
Professional demeanor and strong interpersonal skills, with the ability to build relationships across all organizational levels.
