Our equity business makes and manages CRE equity investments in multifamily, industrial, office, land for the development of such, and other types of CRE equity investments as warranted by market conditions.

Our affiliated credit business, Mack Real Estate Credit Strategies, L.P. (MRECS) is focused on transitional commercial real estate lending and other debt investments.

Mack Real Estate Development, LLC (“MRED”), a subsidiary of MREG, is a full-service real estate development business specialized in entitling, designing, and delivering institutional quality commercial real estate projects.

Summary

Mack Halo Vista is currently seeking to hire a Project Coordinator / Administrative Assistant. This individual will be responsible for project coordination and office management for the Mack Halo Vista Project. The role will encompass contract management, invoice review and coding as well as general office management and administrative tasks for the broader Halo Vista team. The individual in this role will coordinate all things for the team on a daily basis and work closely with the Accounting team in order to ensure the timely and accurate payment of project invoices.

Essential Functions

Project Coordination

  • Organize and attend weekly and monthly project update meetings and take the lead in preparation of standard tracking documents for review
  • Assist team with daily tasks as required
  • Draft, edit and proofread correspondence, project agendas, meeting minutes and notes to share with project team
  • Assist in vendor contracting, scheduling, preparation and submissions
  • Support team in obtaining all project close-out documents including warranties, O&M manuals, as-built drawings, permit records, and others as required for each project
  • Manage all relevant contracts for the Mack Halo Vista project
  • Project permit tracking

Invoice Review & Management

  • Oversee review and tracking of all project related invoices
  • Working closely with Accounting to ensure timely payments and coding of invoices
  • Develop and maintain strong working relationships with vendors
  • Office Management

  • Serve as the first point of contact at reception; greet and direct guests as needed
  • Plan and execute office events, such as team lunches, holiday gatherings, and client meetings.
  • Provide light technology support (printers, video conferencing, office equipment)
  • Order office supplies and stock the kitchen
  • Collect, sort and distribute office mail to the appropriate parties
  • Assist with parking pass information and add guests to security
  • Administrative Support

  • Calendar Management for team – schedule all internal & external meeting
  • Assist with travel arrangements and create itineraries as necessary
  • Process monthly expense reports for multiple employees on team
  • Support meetings by preparing agendas, taking minutes, and tracking follow-up items
  • Qualifications

  • 3+ years of experience working in either a Project Coordination and / or Administrative / Office Management capacity
  • Extremely proficient in Microsoft Office
  • Excellent communication skills – both oral and written
  • Ability to work productively in team environments and autonomously in order to maximize efficiency
  • Highly organized and detail oriented, able to multitask
  • Working knowledge in calendar and scheduling, document management, and control
  • Required Education

    Bachelor’s degree required, preferably with a concentration in Business or Accounting.
