Position Overview
The Board Liaison Specialist, Oversight and Controls, reports to the Managing Director of the Board Management team and is responsible for managing Board and Committee processes.
Key duties include reviewing board-related documents; serve as primary communication link between the board, committees, and departments; administering the Board of Directors' portal; coordinating with business groups for meeting materials and ensuring adherence to corporate guidelines; and managing governance activities including creating meeting timelines, preparing and distributing meeting notifications, and overseeing board and committee meetings.
This position acts as the central point of contact for the Board and manages special projects, including international board offsite events and the onboarding / offboarding of directors.
This role ensures effective meeting management, compliance, communication, and record-keeping, while leveraging technology to streamline board operations.
Individual Responsibilities
In addition to the above :
Develop and maintain all board and committee protocols, including agendas, forward planning roadmaps, deliverable dates, and meeting schedules.
Maintain and update board orientation manuals, records, and databases.
Champion the adoption of Artificial Intelligence as a core driver of innovative process improvements, leveraging AI technologies to streamline operations, maximize productivity, and elevate the quality of outcomes.
Oversee daily activities, communications, and projects supporting the Board.
Serve as liaison for routine and complex matters with Board members.
Manage travel arrangements and individualized schedules for board members.
Distribute meeting notifications, correspondence, and requests for materials.
Coordinate logistics for board and committee meetings.
Administer and enhance the Board of Directors portal.
Support departmental objectives by assisting with additional tasks as needed.
Maintain a high level of confidentiality and discretion.
Qualifications
Bachelor's degree or equivalent professional experience with at least 7 years of related work experience.
High attention to detail and commitment to accuracy, quality, and outstanding service.
Self-motivated with strong problem-solving skills; curiosity in learning; and continuous process improvement mindset.
Flexibility with work schedule is required, including extended coverage beyond normal hours, during board weeks, and required onsite in Boston at One Congress Street.
Effective organization, analytical and communication skills and professional interaction with senior executives and corporate management.
Proficient proofreading skills.
Ability to manage multiple deliverables simultaneously while exercising discretion and judgment.
Knowledge of board and committee governance, functions, and processes.
Ability to work independently and collaboratively in a fast-paced, deadline-driven environment.
Proficiency in Microsoft Word, Excel, and PowerPoint and board portals.
Salary Range :
$110,000 - $177,500 Annual
The range quoted above applies to the role in the primary location specified. If the candidate would ultimately work outside of the primary location above, the applicable range could differ.
