Job description

Accounts Receivable (AR) Manager - Remote

The compensation for this role is commensurate with the cost of living in the Bay Area. The compensation will be adjusted to reflect the standard of living in the applicant's location.

An Ideal Candidate

  • Commercial leases are a puzzle to be solved. On the front end of a negotiation as well as after execution.
  • You understand both the mechanics and nuances of CAM reconciliations.
  • You love task completion and competition. Getting accounts receivable to $0 is something you can win.
  • You are proactive and enjoy talking with people. Both coordinating within the team and externally are enjoyable.
  • You enjoy winning people over and also know when to leverage the letter of the lease
  • Negotiation is fluid for you. With every interaction, we are creating impressions.
  • Understanding the tenant’s business and ability to pay, coordinating across vendors, and getting to the best solution for the building owners – our clients – is a challenge that excites you.

Day to Day Responsibilities

Billing & Invoicing

  • Ensure timely distribution of monthly rent and operating expense invoices in accordance with lease agreements.
  • Process ledger reconciliations and adjustments as needed.
  • Generate and oversee the utility bill back process.
  • Collections & Cash Application

  • Monitor accounts receivable aging and follow up on past-due accounts to ensure timely payments.
  • Work with portfolio managers and tenants to resolve billing disputes and discrepancies.
  • Process tenant payments and apply them to the appropriate accounts in the portfolio management system.
  • Collect and review tenant financials and provide recommendations to portfolio managers on the ability to pay.
  • Escalate delinquent accounts to portfolio managers and work with the portfolio manager to negotiate a payment plan.
  • Generate AR reports, tenant ledgers, and delinquency summaries for management review.
  • Tenant & Internal Communication

  • Serve as the main point of contact for tenants regarding billing inquiries, including explanation of charges, common area maintenance calculations, and lease terms.
  • Work closely with the portfolio management and leasing teams to ensure seamless AR operations.
  • Provide support during audits and financial reporting processes.
  • Account Reconciliation & Reporting

  • Perform monthly reconciliations of AR accounts and ensure accuracy in financial records.
  • Generate AR reports, tenant ledgers, and delinquency summaries for management review.
  • Assist with annual CAM and real estate tax reconciliations.
  • The above is not a comprehensive list, and other duties may be assigned.

    Tangible Background Skills Needed

  • Adept at maintaining organization, self-driven, and proficient in meeting deadlines
  • Demonstrated track record of effectively managing multiple projects concurrently
  • Commercial lease knowledge
  • Possess great interpersonal skills and empathy and exhibit a high degree of professionalism and teamwork.
  • Detailed knowledge of commercial leases and common area maintenance calculations.
  • Ability to handle a large volume of tasks simultaneously.
  • Resiliency and ability to refocus when interrupted.
  • Exceptional organizational abilities to track ongoing tasks.
  • Yardi Voyager experience preferred
  • Strong working knowledge of Microsoft Office, including Excel, Word, and Outlook

  • Federal Holidays :  We observe the 11 Federal Holidays and close our office.
  • Vacation PTO :  There are 15 earned days of vacation PTO in your first year, stepping up to 20 days thereafter.
  • Sick PTO :  We have our standard 5 sick PTO days per year.
  • Windsor Days PTO :   Between the Federal Holidays, Vacation PTO, and Sick Days, you will have 31 guaranteed days of vacation per year for your first year, increasing to 36 days in your second year. This does not include Windsor days. We may also observe Windsor days, which are days we close the office early. For example, a half day on the day before Thanksgiving, a half day on Christmas Eve, a half day on New Year’s Eve, etc. However, Windsor Days are not guaranteed to be offered on an annual basis. The offering of Windsor Days depends on the needs of the business!
  • Medical Coverage :  We offer a Kaiser HMO Plan and a Blue Shield PPO Plan.
  • Vision and Dental :  Our Vision and Dental is through Ameritas.
  • Long Term Disability :   Benefit Amount : 60% of pre-disability monthly earnings up to $10,000 per month.
  • 401k Plan :   We offer a 401k plan with company matching via Guideline. Your contributions vest immediately, and Windsor will match 100% of the first 3% of your salary and 50% of the next 2% of your salary (so if you contribute 5%, Windsor matches 4% of your salary).
  • HRA Plan :   Those who enroll in our Medical plan will get their first $4,000 (if participating as an individual), or first $8,000 (if participating as a family), covered by Windsor.
  • FSA Dependent :   We offer an FSA Dependent care that you can choose to participate in up to the federal maximum.
  • FSA Medical :  We offer an FSA Medical care that you can choose to participate in up to the federal maximum.
  • Life Insurance :   Employer-sponsored life and LTD plans are available, including a level with guaranteed coverage. You pay the premiums if you participate but it is done on a pre-tax basis.
  • Benefits Consultant :   We are partnered with Cavignac, so our team has a Benefits advisor!

    $80,000 - $150,000 a year

    The compensation for this role is commensurate with the cost of living in the Bay Area. The compensation will be adjusted to reflect the standard of living in the applicant's location. This compensation will also be adjusted to skill level and expertise.
