Major Function:
The City of Tallahassee is seeking a proactive and detail-oriented Administrative Aide to join our team. In this role, you’ll be an essential part of keeping our operations running smoothly—supporting department and division leaders with the tools they need to succeed. From preparing budgets and reports to maintaining accurate records and coordinating daily activities, your work will help ensure our services remain efficient, effective, and impactful for the community we serve.
What You Will Do
• Review and code Purchase Transaction Forms, ensuring accuracy, compliance, and proper entry into PeopleSoft Financials; reconcile monthly bank statements.
• Manage vendor services, including uniforms and office equipment, addressing billing issues, processing orders, and tracking returns.
• Process and pay invoices promptly, record copier meter readings, and maintain supply inventory for the TPS Building.
• Coordinate Conference and Training Room calendars, TPS Plant Tours, and maintain TPS bulletin boards.
• Retrieve and distribute daily mail and provide support for special projects as assigned.

Minimum Training & Experience
- High School Diploma or GED; AND
- Three (3) years of clerical or secretarial experience (two years of which must have been at the Clerical Assistant III level or higher)
NOTE: Successfully completed studies beyond the high school level may be substituted at the rate of 30 semester hours or 720 classroom hours on a year-for-year basis for the required experience at the Clerical Assistant III level or higher
Salary Range
$15.5059 to $42.0765/hourly. Hiring rate generally will not exceed $21.9730/hour
Driver's License Requirements
At the department director's discretion, a valid Class E State (or equivalent) driver license may be required at the time of appointment for any of the designated positions allocated to this class.
