JOB DESCRIPTION
JOB SUMMARY
The Admin Assistant supports individuals, large teams or department directors. Collects, reviews and analyzes data and prepares reports, charts, budgets, and other presentation materials. Responds to or routes routine inquiries from external or internal sources with own correspondence or other messaging. Schedules and coordinates meetings, travel, and other group activities. May be responsible for creating reports and distributing on a regular schedule.
ESSENTIAL FUNCTIONS OF THE ROLE
Receives, greets, and screens visitors / patients and / or telephone calls in a courteous manner and notifies the appropriate person, takes and relays accurate messages, and answers routine inquiries.
Performs a wide variety of administrative tasks to prepare correspondence, meeting minutes, patient care sensitive information, specimens, reports and department data which may be confidential in nature. May transcribe medical dictation notes. May transcribe medical dictation notes. May escort Patient(s) to room.
Coordinates department schedule for procedures or patient appointments, as well as other duties related to maintaining the clinical department's daily schedule.
Establishes, maintains, and updates record keeping and filing systems; classify, sorts, and files correspondence, articles, reports, and other paper or non-paper documnets and medica.
Attends department meetings, which includes taking, preparing, and distributing the minutes to appropriate personnel.
Performs charge entry and / or reconciliation as assigned by the supervisor or Manager.
Maintains an apporpriate level of office supplies and keeps work areas well stocked.
Performs a variety of special projects and duties, as requested, in order to support the department's needs.
May maintain orders and receive medical records through the chart-tracking system in accordance with establised policies and procedures as required.
May communicate with physicians, patients and healthcare staff to ensure relevant patient information is shared with appropriate parties as required.

Skilled in document management, including sorting and filing techniques, and records retention to maintain accurate records.
Able to communicate thoughts clearly; both verbally and in writing.
Must be able to read, write and follow instructions and flow chart protocols.
Able to maintain a calm and helpful attitude, even under times of stress, and take appropriate and reasonable steps to resolve issues.
Able to work carefully, with a high attention to detail.
Advanced computer skills, including but not limited to : typing, information security, electronic medical documentation, hand held scanning and email.
Proficient with MS Office suite including Word, Excel, PowerPoint.
