DWS ProSearch is seeking (on behalf of our client) an experienced Executive Assistant to support the Division President of a national commercial services organization. This position also manages company-wide licensing and compliance. The role combines executive-level administrative support with regulatory oversight to ensure smooth operations across multiple states. Position Overview
The Executive Assistant provides comprehensive administrative support to senior leadership while overseeing licensing and compliance requirements. This role requires strong organizational skills, attention to detail, and the ability to manage confidential information. The successful candidate will ensure timely license renewals, maintain compliance records, and coordinate executive priorities.
Key Responsibilities
- Provide executive-level administrative support, including calendar management, meeting coordination, and correspondence.
- Maintain confidentiality and handle sensitive information with discretion.
- Coordinate special projects and assist with cross-departmental initiatives.
- Manage all business, pest control, and specialty licenses and permits across multiple states.
- Prepare, submit, and track license applications and renewals to ensure compliance with state and local regulations.
- Maintain a centralized licensing database and monitor renewal deadlines.
- Schedule required training, continuing education, and exams for licensing compliance.
- Prepare and submit annual reports to state and local authorities.
- Act as liaison between leadership, internal teams, and external agencies.
Qualifications
Bachelor's degree in Business Administration, Communications, or related field (or equivalent experience).Minimum 3 years of experience in executive support and / or regulatory licensing, preferably in a multi-state service industry.Strong written and verbal communication skills.Excellent organizational and time-management abilities with attention to detail.Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).Ability to manage multiple priorities and maintain confidentiality.
