We are seeking a professional, organized, and customer-focused Front Desk & Customer Service Representative to serve as the first point of contact for clients and visitors, providing exceptional front-office and customer service support to our Sales Department.
This role plays a key part in maintaining a professional and welcoming front-office environment while supporting the Sales team with administrative and client service tasks. The ideal candidate is proactive, detail-oriented, and skilled in managing multiple priorities in a fast-paced setting.
Key Responsibilities :
Front Office & Customer Service :
- Manage the front desk, greet visitors, and answer incoming calls with professionalism.
- Serve as the first point of contact for customers, addressing inquiries, providing information, and directing them to the appropriate representative.
- Handle customer communications via phone and email, ensuring timely and courteous responses.
- Support the Sales team with order tracking, documentation, and follow-ups as needed.
- Maintain a professional reception area and ensure a positive first impression for clients and guests.
Administrative Support :
Manage incoming and outgoing mail, shipments, and deliveries.Assist in preparing quotes, sales documents, and client correspondence.Maintain organized filing systems for customer records and commercial documentation.Coordinate meetings, schedule appointments, and support internal communications.Manage office supplies and ensure operational needs are met for the front office.Reporting & Coordination :
Collaborate with internal departments to ensure smooth communication and accurate flow of information to clients.Provide administrative assistance to the Sales and Operations teams as needed.Requirements :
Minimum of 3 years of experience in administrative or customer service roles.Strong communication and interpersonal skills.Professional demeanor with a client-oriented approach.Excellent organizational skills and attention to detail.Proficiency in Microsoft Office Suite (Outlook, Excel, Word).Ability to manage multiple tasks efficiently and prioritize in a fast-paced environment.Team-oriented, proactive, and adaptable.Experience in a manufacturing or industrial setting is a plus.Compensation and Benefits :
