Overview
This position provides Administrative and Dispatching support to the Environmental Services Department. They are the primary contact for effectively handling daily in-bound calls, emails, pages and supporting timely and accurate coordinating EVS cleaning requests. The individual who holds this position exemplifies the OHSU mission, vision and values and acts in accordance with OHSU policies and procedures.
Function / Duties of Position
Operations
- Answering and dispatching all EVS 24 / hr pager requests. Assists with dispatching EVS techs where needed. Manages heavy call volume through the shift.
- Familiar with numerous guidelines, instructions, regulations, manuals and procedures.
- Work with multiple supervisors and admin staff on multiple shifts.
- Communicate in a manner which conveys graciousness and professionalism representing the EVS department.
- Communicate in person and over the phone with a wide variety of individuals including employees, patients, patient family members and staff; defuse upset persons using effective communication skills.
- Communicate effectively with Mission Control team and attend Mission Control Huddle.
- Maintain knowledge of the hospital bed tracking system (Epic) and notify supervisors of issues; track and send information for breaks and lunch times of EVS staff.
- Use Epic to manage bedflow, assign beds, page EVS techs and monitor delayed breaks and lunches.
- Maintain knowledge of GE Tiles and report response times to supervisors; use GE Tile to manage bedflow, bed prioritization and monitor delayed transit times and cleaning times.
- Prepare daily reporting to EVS leadership using EVS Expeditor Worksheet.
- Work independently, using judgment to make decisions based on OHSU policies and procedures within department operations.
Reporting
Use Epic software to pull reports and extract data; manipulate data in Excel to manage response, clean, room turn times and break and meal times.Use GE Tile software to pull reports and extract data.Create and maintain routine spreadsheets; track EVS projects; create or revise EVS procedures to improve and expedite workflows; create spreadsheets using data from Epic for reporting purposes.Quality and Safety
Assist staff compliance with standard work by monitoring and reporting to supervisors.Submit work orders for maintenance repairs as needed.Demonstrated ability to manage sensitive information regarding employees and patients at OHSU.Qualifications
Required Qualifications
Two years of general office or secretarial experience; ORAn Associate's degree or certificate in office occupations or office technology and one year of general office or secretarial experience; ORA Bachelor's degree and one year of general office or secretarial experience; ORAn equivalent combination of training and experience.Note : Successful completion of a formal OHSU Administrative Internship Program will substitute for one year of experience.Preferred Qualifications

Busy environment with a lot of interruptions, multiple demands and people interactions. Regular attendance and the ability to work independently are required. Must get along with all staff, visitors and patients.
