Position Summary
The Facilities Admin Associate is responsible for processing AP along with the creation and management of contracts and change orders within their region. These tasks will be completed by working closely with our project managers and other departments within RPM Living.
Responsibilities
- Responsible for processing payables associated with Construction Services
- Utilize Yardi, Yardi Job Cost, Onesite, and Entrada to process AP
- Complete construction related draws for clients / lenders
- Ensuring vendors provide lien waivers and payment applications when applicable
- Manage customer and internal inquiries related to vendor invoice payments status
- Work directly with clients, operations, accounting, and other RPM departments to process AP timely
- Responsible for creating contracts and change orders for construction projects
- Ensure active construction projects have valid contract / change orders in place. Responsible for escalating if contract is overbudget / expired
- Ensure vendors are compliant with vendor management software before contracting any work
- Track construction management fees to ensure they are accurate and billed timely
- Participate in additional projects as needed
Education and Experience
3+ years of construction administrative experience, property management experience, or accounting experience. A combination of these experiences would be idealExperience working on a high performing teamProficient in Yardi, Job Cost software, RealPage, Monday.com, and Microsoft productsQualifications
