Job description

Job Title : Admin Assistant to Executive Director Wage / Hour Status : Nonexempt; 233 days

Special Services

Department / School : Central Admin Pay Grade : Clerical 7

Reports to : Executive Dir of Special Services Date Revised : 9 / 2021

Primary Purpose :

To facilitate the efficient and effective operations of the Special Education Central Office and provide clerical services to the Executive Director and other staff members.

Qualifications : Education :

High school diploma or equivalent

Experience :

Minimum of 2 years school district clerical experience

Special Knowledge / Skills :

  • Proficient skills in Word, Excel, Google Docs / Sheets, Skyward
  • Excellent interpersonal, communication, and organizational skills
  • Ability to work accurately with close attention to detail
  • Ability to work independently and work in a team-oriented environment
  • Knowledge of District organization and operations, as required for this position

Major Responsibilities and Duties :

  • Maintain Excel / Google spreadsheets on all fund source budgets.
  • Ensure all budgets are up-to-date and process appropriate budget transfers and journal vouchers.
  • Process all purchase orders and maintain records of all purchases.
  • Process all contract agreements and maintain renewal. Maintain records of contracts.
  • Process direct pays for contract personnel.
  • Facilitate day-to-day operations necessary to the smooth functioning of the Special Education Office.
  • Update all special education forms.
  • Provide necessary information to staff and process reservations and registrations for proper development of plans and programs for educating students with disabilities.
  • Maintain extensive files for the Executive Director and make such files available to authorized personnel.
  • Answer the telephone and give information to callers or route to appropriate personnel.
  • Manage SHARS / Medicaid Reimbursement / Random Moment Time Studies.
  • Distribute materials to campuses to assigned personnel.
  • Complete state and regional reports as required and process in a timely manner.
  • Perform other related duties as assigned.
