Marketing Coordinator (with Event Focus)
We are seeking a motivated and detail-oriented individual to join our Marketing & Communications team at Marsh McLennan. This role will be based in New York City and offers a hybrid work arrangement, requiring a minimum of three days per week in the office. As a Marketing Coordinator, you will support the creation and execution of impactful event experiences that drive engagement and strengthen Marsh's relationships with clients, prospects, and stakeholders across the US. This role involves assisting with a variety of marketing initiatives, with a strong emphasis on event coordination, including Marsh-hosted conferences, industry participation, and national sponsorships.
You will collaborate closely with internal teams and external partners - such as the broader Marsh marketing / communications team, creative, individual business units, global events, and outside vendors - to ensure smooth event execution. Using your organizational skills and strategic insight, you will help analyze event performance and contribute to optimizing plans to maximize value and lead generation. Reporting to the US Marketing & Events Manager, you will be part of a focused team executing events across all Marsh business units. We will count on you to :
- Assist in planning and executing large, multi-faceted events - including Marsh-hosted programs, industry conferences, and national sponsorships.
- Collaborate with business leadership and other stakeholders to support events and marketing campaigns aligned with core business priorities.
- Support strategic direction - e.g., the development of event themes / sub-themes, messaging, design, content, speakers, agenda, and attendee experience.
- Help oversee supporting marketing tactics, including thought leadership, press involvement, social media campaigns, email, web pages, internal communications, etc.
- Manage event logistics and project coordination tasks, including :
- Maintaining project plans and timelines
- Budget tracking and cost monitoring
- Venue / site evaluation and selection; assist with contracting
- Registration website / event app content and functionality
- Agenda / program development and speaker preparations
- Attendee marketing, list development, and invitation schedules (email, social media, etc.)
- Assisting with vendor management, including production, rentals, dcor, etc.
- Coordinating event logistics (F&B orders, AV / production, room setup and event flow, timing, hotel room blocks, transportation services, etc.)
- Production of creative materials (print and digital signage, branded items, giveaways, print materials).
- Providing on-site event support, including registration and team coordination.
- Post-event analysis, reporting, and surveys.
- For Marsh-owned events, supporting sponsorship-acquisition efforts (provide input on sponsorship level / prospectus support, contract preparation and coordinating legal review, sponsorship deliverables tracking, and invoicing).
What you need to have :
Minimum of 3 years of experience in marketing coordination or event planning.Bachelor's degree in marketing, strategic communications, advertising, event management or similar discipline.Experience supporting events of varying sizes and complexities, from planning through execution.Strong communication skills, both written and verbal, with the ability to interact effectively across all organizational levels and with external partners.Flexibility to travel up to 20% within the US.What makes you stand out?
