Job description

Administrative Assistant

Do you enjoy keeping things organized, juggling multiple tasks, and supporting mission-driven leaders? The Administrative Assistant plays a key role in helping the Directors of the Aging Department keep programs running smoothly and efficiently. This position provides direct administrative and clerical support to the Directors, managing schedules, preparing documents, assisting with meetings, and ensuring communication flows seamlessly throughout the department. Essential Duties & Responsibilities :

  • Provide direct administrative support to the Directors.
  • Coordinate meetings, including scheduling, preparing agendas, taking minutes, posting public notices, booking locations, and sending calendar invites.
  • Track and manage legislative committee meetings and related scheduling.
  • Conduct background checks for case managers in compliance with department and program requirements.
  • Process client orders and assist with Visa purchasing and reconciliations for the Directors.
  • Maintain accurate and organized records : support document preparation, filing, data entry, and correspondence.
  • Maintain confidentiality of client and program information at all times.
  • Perform general administrative and office assistance tasks as assigned by the Directors.

Job Specifications :

  • Excellent written and verbal communication skills.
  • Strong interpersonal and customer service abilities, with the capacity to build positive relationships and work effectively with older adults.
  • Exceptional organizational skills, attention to detail, and the ability to manage multiple priorities while meeting deadlines.
  • Ability to work independently, problem-solve, and anticipate departmental needs.
  • Proficient in Microsoft Office Suite, Google Workspace, and Zoom, with the ability and willingness to learn new software systems.
  • Skilled in data entry, database management, recordkeeping, and reporting.
  • Able to operate multi-line phone systems and standard office equipment.
  • Demonstrates flexibility, reliability, patience, and discretion in handling confidential information.
  • High school diploma or equivalent required; Associate degree preferred.
  • Minimum of two (2) years of administrative experience. Preferably in a social services, nonprofit, or government setting, or an equivalent combination of education and experience.
  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, copiers, and filing systems. This position requires sitting for long periods of time and performing computer-related work. The individual must be able to lift and carry up to 15 pounds.
