We are looking for a detail-oriented Purchasing Admin Assistant to join our team in Palm Beach Gardens, Florida. In this role, you will support purchasing operations through administrative tasks, ensuring accuracy and efficiency in processing orders and managing vendor communications. Responsibilities :
- Prepare, review, and distribute client contracts for signatures in a timely manner.
- Perform high-volume data entry tasks with accuracy and attention to detail.
- Create detailed proposals and purchase orders related to accounts payable and receivable processes.
- Coordinate with vendors to confirm order details, track order statuses, and provide updates as needed.
- Maintain accurate and up-to-date budget records and financial documentation.
- Process subcontractor payments and notarize release of liens for payments issued.
- Collaborate with team members to support purchasing activities and ensure compliance with organizational standards.
- Proven experience in purchasing or administrative support roles.
- Proficiency in managing purchase orders and related documentation.
- Strong skills in data entry and maintaining accurate records.
- Familiarity with accounts payable and receivable processes.
- Excellent communication skills for liaising with vendors and internal teams.
- Ability to manage multiple tasks while maintaining attention to detail.
- Knowledge of purchasing functions and processes is essential.
- Notary certification or willingness to obtain it is preferred.
