Pay : $85,000 - $100,000 / year (based on experience) + an excellent benefits package
Overview : Our client in the financial services industry, independent life insurance, is seeking a high-level Executive Assistant to support a Principal at their Greenwood Village office location. The Executive Assistant will be support a very busy Principal in scheduling meetings, managing a high volume Outlook inbox and calendar, coordinating travel arrangements, communicating with affluent clients in a professional and timely manner, supporting other Principals or Directors as needed, working as a team with other Executive Assistants and Office Managers as their back-up, and more! Someone successful in the Executive Assistant position will have strong organizational and communication skills.
Schedule : Monday - Friday 8 : 30 AM - 5 : 00 PM, 3-days a week in office (Tuesday, Thursday, and 1 other day)
Duties :
- Calendar management in Microsoft Outlook
- Scheduling internal and external meetings (both in-person and virtual via Zoom or Teams)
- Updating and managing schedule lists, contact lists, and task lists
- Coordinating and managing travel itinerary (domestic and international)
- Entering and maintaining detailed client information into CRM database system
- Developing strong familiarity with clients, carriers, etc.
- Screening incoming phone calls and exercising judgement on transferring calls, taking messages, or getting the caller to the appropriate party
- Drafting emails, letter, memos, etc. on the Principal's behalf
- Taking an active interest in the Principal's activities with the ability to anticipate needs and be proactive with deliverables
- Supporting the Office Manager as needed as a back-up and other Executive Assistant's in other office locations as necessary
- Other tasks and duties as assigned
Requirements :
5 + years' experience as an Executive Assistant supporting a Senior ExecutiveFinancial Services industry experience strongly preferredBachelors Degree highly desired, but not requiredAbility to work under pressure in a fast-paced and evolving environmentAbility to manage multiple tasks at once and changing priorities as neededAbility to remain patient, flexible, and focusedExcellent communication skills both written and verbalStrong follow through, organization, and time management skillsAbility to respond timely to heavy email communicationsTeam playerStrong customer service oriented mindsetHighly detail orientedPresentable and articulateHighly proficient in MS Office Suite - especially OutlookJ.
