As the Office Administrator Accounting Coordinator, you will be the backbone of our client’s office operations, responsible for a wide range of administrative tasks essential for the smooth functioning of their organization.
You must be a meticulous individual who thrives in a project-based environment, with a keen eye for detail and exceptional organizational skills.
To thrive as our Office Administrator Accounting Coordinator , you should have :
- Previous office administration experience in a project-based environment with a preferred bachelor's degree in business administration, accounting, or related field.
- Experience with accounting software (e.g., QuickBooks) and payroll systems, with solid attention to detail in financial record-keeping.
- Ability to work independently and understand legal / regulatory requirements.
Utilizing your arsenal of skills and talents, we will rely on you to :
- Generate and manage client invoices accurately and promptly. Ensure all billable hours and expenses are accounted for and invoiced accordingly.
- Monitor and manage accounts receivable, follow up on outstanding invoices, and communicate effectively with clients regarding payment statuses.
- Process incoming invoices, verify accuracy, and ensure timely payments to vendors and suppliers. Maintain organized records of all payables.
- Coordinate with the contracted payroll company to accurately process employee payroll, including new hires, terminations, and changes in employment status.
- Manage employee files and paperwork, including processing new hire paperwork and managing termination paperwork. Major HR functions are outsourced to a Professional Employment Organization.
- Maintain a well-organized and efficient office environment, including managing office supplies, equipment, and facilities.
Act as the primary point of contact for office-related inquiries and requests.
Maintain accurate and up-to-date records for invoices, payments, employee information, and other relevant data. Ensure confidentiality and security of sensitive information.
