Job description

Duties : Create, maintain, and enter information into databases (automotive specialized Notion program).

Manage telephone calls and emails.

Organize worldwide travel for company personnel and vendors where necessary.

Provide assistance on visa applications for company personnel buy submitting forms, booking visa appointments and fingerprint appointments (mainly for UK and Schengen visas).

Schedule and plan meeting and appointments.

Oversee vendor payment of transactions visa online, checks and credit / debit cards.

Create and edit form customer contracts.

Create vehicle purchase proposals mainly for Russian, German and Chinese clients.

Create basic graphic designs of vehicle purchase proposal to include car photos.

Work with appropriate state and local DMV offices to maintain automobile paperwork like car titles, MCOs, registrations, tags etc.

Monitor, order, stock and distribute office supplies.

Manage relationships with vendors and service providers, ensuring that all items are invoiced and paid on time.

Plan and execute company events; and Perform other office miscellaneous job-related duties (such as printing, scanning, creating fed-ex labels etc.)

Requirements : Associate’s degree or higher in Business Administration, Hospitality or related field or foreign equivalent.

Special Requirements : Two years of experience in Office related roles, such as Manager, Receptionist or Clerk and at least one year as Office Manager.

One year of experience working with foriegn market in any capacity.

Experience working with forms for visa applications.

Proficient in Microsoft Office Tools.

One year experience organizing meetings and events.

One year experience working with databases

SCHEDULE : Monday to Friday, 40 hours / week
