Our client, a high-level executive, is looking for a Temporary Personal Assistant. The ideal candidate will be professional, tech savvy, and have demonstrated ability to maintain strict confidentiality.
This position starts asap and will be an ongoing assignment.
This role is mostly remotebased on the East Coast (ability to go in NY office as needed)
Hours : 8 / 9am – 5 / 6pm (24 / 7 mentality)
Responsibilities :
- Act as primary contact for all personal, household, and logistical matters
- Maintain and securely manage personal records
- Oversee renewals and payments for personal expenses
- Maintain detailed inventories and documentation for all personal, entity, and trust assets
- Coordinate with property managers across multiple residences regarding staff, utilities, vendors, repairs, and service schedules
- Manage seasonal service calendars, property readiness, and respond to unexpected issues or alarm calls
- Handle mail, billing, vendor info, and maintain all account details and logins
- Track vehicle locations, update insurance and registrations
- Securely manage bank accounts and credit card information
- Process, record, and track all personal, entity, and trust expenses, loans, and investments with high accuracy
- Maintain monthly ledgers, produce financial reports, and prepare annual and incidental expense budgets
- Liaise with banks for statements, transfers, purchases, and tax documentation
- Coordinate with accountants for all tax-related filings and provide necessary financial records
- Work with attorneys on personal, entity, and trust legal matters and documentation
- Manage insurance coverage for all assets, including renewals, updates, proposals, and certificates
- Establish new entities, obtain EINs, dissolve entities, and complete annual filings and registered agent fees
- Maintain records of asset acquisitions / sales and trust distributions
- Plan and manage complex domestic and international travel, including private aviation and ground logistics
- Prepare itineraries, manage travel documents (passports, visas), and serve as on-call support while client is traveling
