Operations & Technical Coordinator Job Description

Role Overview
We are looking for a versatile, proactive, and detail-oriented individual to join our team as an Operations & Technical Coordinator. This is a "hub" role within our company, sitting at the intersection of our supply chain, office operations, and technical production. You will be responsible for ensuring that our shop stays organized, our projects are staged with the right parts, and our office runs smoothly.

Key Responsibilities
1. Inventory & Purchasing Management
  • Manage the end-to-end lifecycle of components, from procurement to project staging.
  • Issue Purchase Orders (POs) and follow up with vendors on lead times and backorders.
  • Maintain accurate inventory counts and organize the warehouse/storage areas.
  • Negotiate with suppliers to ensure competitive pricing and timely delivery.
  • Identify gaps or inefficiencies in operational processes and recommend improvements.
2. Shipping, Receiving & Logistics
  • Inspect incoming shipments for damage and verify against packing slips.
  • Receive, log, and clearly communicate the arrival status of delivered parts to the appropriate teams.
  • Prepare and package finished systems for domestic and international transit. This may require the construction of custom pallets or crates.
  • Coordinate with freight forwarders and couriers for timely pickups and deliveries.
3. Shop Technician Support
  • Assist the engineering team with mechanical assembly and basic wiring of integration projects both in the shop and at customer sites with supervision.
  • Perform basic quality control (QC) checks on incoming hardware.
  • Maintain a clean, safe, and organized shop environment (5S standards).
4. Office Management
  • Maintain office supplies and act as the point of contact for facility vendors.
  • Assist with light administrative tasks to support the leadership team including setting up new projects in our management software.
Required Skills & Qualifications
  • Experience: 2+ years in an operations or technical environment (manufacturing, integration, or electrical shop).
  • Technical Aptitude: Comfortable using hand tools and reading basic technical drawings or BOMs (Bills of Materials).
  • Organizational Mastery: Highly detail-oriented; you are someone who enjoys "a place for everything and everything in its place."
  • Clear Communicator: Strong written and verbal communication skills
  • Tech-Savvy: Proficiency with Microsoft tools and specifically Microsoft Excel.
  • Physical Ability: Able to lift up to 50 lbs and remain on your feet for extended periods in a shop setting.

You are a "problem solver" who doesn't wait to be told what to do. You understand that if a $5.00 connector is missing, a $50,000 project can’t ship—and you take pride in making sure that never happens.

This is a role of many hats and in a project-based environment, pace and direction can change quickly. The ideal candidate will be flexible to roll with these changes.

This role also includes “downtime focus”. When normal responsibilities are lessened due to the nature of project schedules, etc the candidate will focus on growth opportunities that may include engineering or project management. This may mean taking on additional responsibilities for experience and skills development.
