Executive Assistant - Remote at Wolters Kluwer in Boise, Idaho, United States Job Description This role will be located remotely, anywhere in the US, with preference to locations in the Eastern time zone About the role The Executive Assistant will provide support to the Vice President of Sales Operations and Vice President of Product Management in the Corporate Performance & ESG Division executive leadership team, and will be responsible for providing confidential executive level administrative support.
Requires continuous use of business vocabulary and a detailed knowledge of organization operations, organizational procedures, and personnel.
Relieves the Vice President of Sales Operations and Vice President of Product Management of administrative detail. Within established guidelines, makes independent decisions regarding planning, organizing, and scheduling work.
This role will require someone capable of confidently and professionally interacting and supporting C-Suite executives and will be expected to establish effective working relationships with peers inside and outside of Wolters Kluwer.
Responsibilities + Provide day-to-day administrative support and project coordination to the Vice President of Sales Operations and Vice President of Product Management, Corporate Performance & ESG.
- Maintain executive diary, prioritizing and arranging meetings to maximize executive's time efficiency, while balancing business and corporate priorities.
- Schedule, monitor and coordinate calendar events, recurring team meetings. + Make extensive, complex international travel arrangements and manage (travel) expenses.
- Coordinate and track special activities, on and off-site meetings and presentations within the department. + Complete daily administrative functions such as purchasing supplies, preparing and processing invoices and other duties as directed.
- Assist in managing requests for electronic billing as well as utilizing the appropriate document management system. + Coordinate departmental events / meetings (e.
g. project, town halls, off-site meetings, etc.), and working sessions by working with facilitators or leaders to plan meeting / event, managing agenda creation and participation standards.
Experience + Degree in Business or related discipline, or some formal Executive Administration training required. + Minimum of 5-7 years of executive administrative experience supporting VP or higher-level executives.
- Extensive knowledge and prior use of Microsoft office suite products - Outlook, Word, Excel and PowerPoint as well as conference and web-based 'live meetings' required.
- Outstanding organizational, planning, and coordinating skills are required. + Must be knowledgeable about extensive, complex international travel and making last minute travel plans / changes.
- High degree of discretion and a sense of appropriateness of what can be communicated to whom is critical. + Strong problem solving, and the ability to make and carry out decisions and prioritize work.
- Ability to handle multiple projects simultaneously. + Ability to work 'before and after hours' if necessary for last minute changes to appointments or travel issues.
- Excellent verbal and written communication. + Excellent interpersonal skills and the ability to interface with all levels within the organization are essential.
