Position Overview
The Administrative Support Specialist provides essential operational and accounting support to the sales and management teams. This role is key to ensuring smooth daily operations across sales, accounting, and programming by preparing and editing proposals, entering and tracking media orders, coordinating report distribution, and assisting with the traffic of broadcast and digital logs.
Working closely with both sales and accounting, the specialist posts customer payments, tracks accounts receivable, and ensures accurate, timely documentation of client activity. This position requires exceptional organization, attention to detail, and strong communication skills in a creative, fast-moving media environment.
Key Responsibilities
- Sales & Proposal Support : Prepare, proof, and format professional sales proposals and presentations using company branding and templates.
- Media Traffic & Order Management : Enter and verify media orders, coordinate with traffic to ensure all spots and digital campaigns are scheduled accurately and on time.
- Reporting & Administrative Coordination : Generate and distribute performance and billing reports; maintain organized electronic records for contracts and client documentation.
- Accounting & Receivables : Post customer payments, reconcile accounts, track outstanding balances, and coordinate with sales and accounting on collections and reporting accuracy.
- Client & Team Communication : Serve as a professional point of contact for clients, vendors, and staff, providing prompt and effective communication.
- Operational Support : Assist with scheduling, project coordination, and promotional or production tasks as needed to support company goals.
Qualifications
Proficiency in Microsoft Excel , PowerPoint or Canva , and Adobe Acrobat Pro .Strong writing and editing skills with attention to tone, clarity, and professionalism.Excellent people skills ; comfortable interacting with clients, vendors, and internal teams.Experience with accounts receivable processes, including posting payments and tracking balances.Demonstrated attention to detail , accuracy, and organizational excellence.Ability to manage multiple priorities in a fast-paced media or digital environment.Familiarity with traffic and order-entry systems (e.g., Natural Log or similar) is a plus but not required.What We Offer
