This position reports directly to the WYCA Health Center Supervisor (Registered Nurse 2) and provides confidential, complex administrative assistance and support for the Health Center.

This position is also eligible for on-site, 24 / 7 facility premium pay of 5%.

Who we are

The WYCA was established under the authority and guidelines of the National Guard Youth Challenge Program. This is a voluntary program which includes a 22-week residential phase followed by a 24-month post-residential mentoring phase. The purpose of the program is to provide a highly disciplined, safe and professional learning environment that empowers at-risk youth to improve their educational levels and become responsible and productive Washingtonians. The National Guard Challenge Program is one of the most successful alternative education programs designed for high school dropouts or youth that are not progressing in a traditional high school setting and has graduated over 215,000 Cadets to date.

Duties

  • Provide administrative support and coordination for the WYCA Health Center Supervisor and functional program area.
  • Coordinate and implement medical appointments / services for Cadets with local health care providers, parents and cadre staff.
  • Maintain confidential Cadet medical files and records pertaining to treatment and prescriptions.
  • Assist with and / or provide Health and Hygiene instruction to Cadets in residence.
  • Qualifications

    Required Qualifications :

    High school graduation or GED;

    AND

    Three years of progressively responsible experience in office / clerical, secretarial, bookkeeping, accounting, or general administrative work.

    Formal education and / or training in office or secretarial occupations, bookkeeping, or accounting will substitute year for year for the experience requirement.

    Preferred / Desired Experience / Knowledge / Skills / Abilities :

  • Experience as an Administrative Assistant or Health Unit Coordinator in a hospital or medical clinic setting
  • Experience working with at-risk youth
  • Experience working with Windows operating system
  • Knowledge :

  • Medical terminology
  • Regulations (HIPAA / FERPA) regarding confidentiality of patient medical records and information as well as Personally Identifiable Information (PII)
  • Basic administrative procedures; office practices; correspondence preparation; management procedures
  • Skills / abilities / competencies :

  • Basic or higher proficiency with Microsoft Office Suite (Word, Excel, Outlook, SharePoint)
  • Provide excellent customer service including active listening, patience, empathy, confidentiality, and meeting customer needs
  • Independently accomplish varied administrative tasks and projects; able to make decisions and take action on administrative matters
  • Conditions of Employment

    Background Check

  • Must successfully complete a pre-employment personal history and criminal background check investigation, including fingerprinting. The background check is required for all employees of the Washington Youth Academy due to the nature of positions and safety requirements. Applicants must complete and sign the Background Statement and a Waiver and Authorization to Release Information Form. Candidates will not have access to investigative materials and files.
  • Must be willing and able to participate in periodic background checks in accordance with department policy. Failure to complete any required background check may be cause for termination.
  • Normal Work Schedule

    Tuesday–Friday : 8 : 00am – 4 : 30pm; Saturday 6 : 00am – 2 : 30pm

    Drug & Alcohol Testing and Use

  • Willing not to use or be in possession of illegal narcotics or controlled substances
  • Willing and able to be free from excessive alcohol consumption
  • Willing and able to pass drug testing requirements, including pre-employment testing
  • WYCA Campus

  • Ability and willingness to work with all at-risk youth in a 24 / 7 highly structured residential setting requiring extensive interaction with youth and parents who may be disgruntled or confrontational
  • Willing to engage in mentoring / coaching relationships with all at-risk youth in a manner that serves the WYCA mission
  • The WYCA campus is tobacco, vaping, alcohol, drug and weapons free. Weapons and alcohol are not permitted on campus when employees are on or off shift. Use of tobacco and / or vaping products is not permitted on campus or in view of Cadets when performing off-campus duties
  • Individuals working with at-risk youth in a residential setting are subject to safety and security surveillance
  • Must be willing to work in and around military facilities and programs
  • Travel / Training / Policies

  • Must complete annual first aid and CPR instructor training / re-certification
  • May be required to attend events, meetings or training at other locations; travel may be required out of state for up to one week
  • Must comply with Department policies and procedures governing workplace conduct
  • Hands-Off Leadership and Professionalism

    Must follow NGYCP-CA Hands-Off Leadership Guidance and related policies, maintaining professional conduct with Cadets and avoiding inappropriate interactions. This includes following directives on Hands-Off Leadership, Fraternization, Mandatory Reporting, and Appropriate Relationships.

    Driver's License : Must possess a valid driver's license and be qualified to drive a state vehicle.

    Union : This position is represented by the Washington Federation of State Employees (WFSE).

    Telework Eligibility : Not eligible for telework due to essential in-person interaction with Cadets and stakeholders.
