HR & Recruiting Coordinator
The HR & Recruiting Coordinator plays a vital role in creating a positive experience for candidates and employees throughout their journey with the organization. Reporting to the Director of Talent Acquisition and working as part of an 8-person HR team, this role supports full-cycle recruiting logistics, new hire onboarding, HR data and systems administration, and general people operations workflows. The HR & Recruiting Coordinator will partner closely with hiring managers, candidates, and internal HR partners to ensure processes run smoothly, communication is timely and professional, and documentation remains accurate and compliant. This role is ideal for someone who enjoys staying organized, collaborating with others, and building strong relationships. Motivated by supporting candidates and employees, this person takes pride in helping them have a positive experience throughout their journey with the organization.
Essential Functions
- Talent Acquisition Support
- Post and maintain job openings in the Applicant Tracking System (ATS) and other job boards.
- Coordinate interview scheduling and communicate logistics to candidates and interview teams.
- Track recruiting expenses and support recruiting budget reporting.
- Research and stay up to date on job boards and recruiting sources relevant to museums, non-profits, and related sectors.
- Onboarding & Offboarding
- Create and send offer letters to all new hires as well as internal status change communications.
- Facilitate new hire onboarding tasks, system setup, and documentation.
- Initiate background checks and communicate with background check vendor as needed for timely processing.
- Coordinate with the security team to ensure new hires receive proper badges and access.
- Schedule and conduct in-person I-9 verification meetings for both office and museum staff and ensure required steps are completed.
- Support offboarding workflows and ensure steps are followed and appropriate documentation is provided.
- Employee Data & Systems
- Maintain accurate employee records in HRIS systems (UltiPro, Kronos, etc.)
- Track annual training employee attestations and required documentation.
- Manage employee status changes and related HR notifications.
- HR Operations & Support
- Assist with benefits-related notifications and system updates.
- Prepare routine HR reports and assist with payroll-related employee data updates.
- Manage the HR team calendar, scheduling HR team meetings.
- Manage the HR inbox to ensure timely responses to all employee inquiries.
- Provide support to the SVP of HR as needed.
Qualifications / Skills Requirements
Bachelor's degree preferred.12 years of experience in HR, Recruiting, People Operations, or related administrative or coordination rolesStrong interpersonal communication skills : able to build rapport and maintain professionalism with people at all levels.Ability to work independently, anticipate needs, and proactively solve problems.Skilled at managing multiple tasks, shifting priorities, and staying organized in a dynamic environment.Confident in managing upwards and keeping leaders informed and aligned.Strong judgment, discretion, and respect for confidentialityIntermediate to strong Microsoft Excel skills required.Experience with an Applicant Tracking System (ATS) is a plus, with UltiPro experience preferred.Comfortable learning new systems and tools quicklyA positive, warm, and people-oriented approach to workA curiosity to learn, grow, and take on increasing responsibility over time.Required Support for Organizational Events
