Job Description :
Perform all project coordinating tasks related to customer calls, job management and tracking, scheduling of jobs, and customer satisfaction activities. Perform general office duties, such as drafting correspondence, filing, and creating reports. We will train you.
Responsibilities :
Provide excellent customer serviceReceive general phone calls and actively communicate with adjusters and project managersReceive and dispatch lead calls and job referralsPerform detailed and accurate data entry, including analyzing dispatch reportsCoordinate crew and job schedulingPerform general administration dutiesAssist other departments, as neededMonitor job file status and job file audit statusMaintain job file WIPsMonitor and ensure client requirements are followedReview and validate initial field documentationCreate preliminary estimateDaily job file coordination, including preparing job file reports, performing job file backup, and completing job file audit processMaintain internal and external communicationsComplete and review job file documentation for final upload and the audit processPerform job close-outQualifications :
1+ year(s) of administrative or office-related experience and business experienceWorking knowledge of current business software technologies is requiredExperience in the commercial cleaning and restoration or insurance industry is desiredCustomer service experience, quality assurance, and scheduling a plusOutstanding written and verbal communication skills, including proper pronunciation and grammar, and a consistently courteous and professional tone of voice at all timesAbility to remain calm and professional during tense or stressful situationsExcellent organizational skills and strong attention to detailVery self-motivated and goal-orientedCapability to work in a fast-paced, team-oriented office environmentProficiency in Microsoft Office (i.e., Outlook, Word, Excel)Ability to learn new software, including Xactimate and proprietary softwareMinimum of HSD / GED, Associate's / Bachelors degree preferredReliable personal cell phone for occasional company communication and app usageAbility to successfully complete a background check subject to applicable lawSchedule
Full Time | 40 hours a week
Monday to Friday 8AM to 5PM.
