Title : Administrative Support / Mail & File Management

Location : Arlington, VA

Salary : Commensurate with experience.

Job Description :

The Admin Support / Mail & File Manager shall maintain a well-organized, well-stocked mail room and other work areas throughout the office. Ensure the copier areas / work rooms are continually stocked with supplies, including paper, letterhead, pens, and other supplies, and are maintained in a well-organized and neat manner. Perform scanning, copying, etc., to convert agency files and documents from hard copy to electronic files. Serve as lead for assisting in the establishment of records schedules for electronic records and email to ensure identification, disposition, and transfer of records

Typical duties include :

  • Manage phone calls, emails, and mail, serving as the point of contact for internal and external communication
  • Collect, sort, and distribute incoming mail
  • Maintain records of receipt, mailing dates, and other required information
  • Ensure appropriate mailing and / or shipping of packages, letters, etc.
  • Manage calendars, schedule meetings, appointments, and greet high-level guests
  • Create and distribute correspondence, reports, and other documents
  • Provide general office support like various administrative tasks, data entry, filing, and customer service
  • Set up of all conference and training rooms
  • Manage multiple tasks and prioritize effectively
  • Manage the receptionist area
  • Physical ability to move large number of files and / or file boxes

Educational Requirements :

  • High School diploma required; higher education preferred
  • Experience Requirements :

  • 1-3 years of experience in a professional office environment as a support assistant or
  • receptionist, or equivalent position Proficient in the use of commercial software packages and databases, such as Microsoft Outlook, Teams, Word, PowerPoint, and Excel.
  • Effective written and verbal communication skills for interacting with various individuals
  • Proficiency in office software and equipment
