OVERVIEW

The primary responsibility of a Client Services Coordinator is to ensure and consistently provide, upscale and high-quality customer service to our internal and external clients.

This role includes meeting and greeting arriving guests / visitors and escorting clients to their destination within the Firm.

This person will also perform clerical and administrative tasks such as answering phones and making car reservations.

RESPONSIBILITIES

  • Greets and announces arriving clients and escorts them to their destination within the Firm;
  • Answers telephones using a web based attendant console server, effectively dispatches incoming calls to individuals within the Firm, takes messages following Firm greeting standards;
  • Creates and generates domestic and international transportation reservations for Partners, employees and clients with various car companies and their affiliates;
  • Communicates air travel requests to the Firms travel agency;
  • Assists Partners with conference calls using the Firms conferencing service provider for International and Domestic calls;
  • Assists Conference Center by booking conference rooms and ordering catering for in-house meetings;
  • Assists with special projects, events and performs various clerical duties such as dispatching facility requests, distributing faxes and checking desk supply inventory;
  • Keeps abreast of all Department communications regarding emergency procedures (i.e., 888-Cravath line), call handling instructions and car preferences for Partner;
  • Develops and fosters relationships among all service areas of the Firm, i.e., Facilities, IT, Legal Personnel, Human Resources, Secretarial Services;
  • Attends all quarterly meetings, trainings and refresher sessions;
  • Reports to work on time in professional business attire, following the Firms dress code standards;
  • Ensures an organized and welcoming reception area and provides courteous and professional service to guests upon arrival;
  • Reacts promptly and professionally to any and all requests and inquiries from Firm clients and sees them through to completion; and
  • Performs other duties as assigned.

QUALIFICATIONS

  • High School Diploma or equivalent required; college degree highly preferred. Hospitality certification is a plus but not required;
  • Three to five years of experience working within a corporate reception or guest services environment;
  • Excellent oral and written communication skills with proper command of the English language;
  • Knowledge and experience with electronic telephone equipment;
  • Knowledge of Microsoft Word and Lotus Notes;
  • Ability to answer a high volume of telephone calls on multiple lines;
  • Ability to obtain and administer accurate information, such as names, addresses and telephone numbers;
  • Ability to multi-task with a focus on attention to detail;
  • Service-oriented thinker who works well in a team setting;
  • Ability to work well under pressure and maintain a professional composure in all circumstances;
  • Excellent interpersonal skills with a high degree of integrity and confidentiality;
  • Maintains a professional and polished appearance with a warm and welcoming demeanor;
  • Available to work overtime as needed and is flexible with changing environments;
  • Willingness to learn and demonstrates a strong commitment to providing the best possible experience for visitors and clients;
  • Outgoing personality with a deep understanding of providing above and beyond service to ensure a memorable experience for all visitors; and
  • Ability to work overtime as needed.

This position is located in our New York office. The hours for this position are 9 : 00 a.m. to 5 : 00 p.m, Monday through Friday.

The estimated salary range for this position is $50,000 to $60,000 plus overtime. The actual salary offered will be based on a wide range of factors, including relevant skills, training, experience, education, and where applicable, licensure or certification obtained.

Market and Firm factors are also considered. In addition to base salary and discretionary bonus(es), we offer a generous employee benefits package including, but not limited to, paid time off, medical, dental, vision care, 401(k) and substantial health club discounts.
