Position Overview
An international family office with residences and operations in New York City and Rome, Italy is seeking a highly organized and bilingual Executive Personal Assistant to provide comprehensive support to the female principal. The successful candidate will serve as a key liaison between the principal, the family office, and the family foundation, which is actively involved in philanthropy, charitable initiatives, and an extensive art collection.
This position requires exceptional communication skills in both English and Italian, strong organizational and project management abilities, and the flexibility to travel frequently between the United States and Italy. The ideal candidate will possess a refined, service-oriented demeanor and thrive in a fast-paced, international environment.
Responsibilities
Provide high-level administrative and personal support to the principal, managing day-to-day operations, scheduling, and correspondence.
Serve as a liaison between the principal, the family office, and the family foundation, ensuring smooth communication and coordination.
Assist in managing philanthropic initiatives, art-related projects, and charitable programs.
Organize and maintain the principal’s calendar, appointments, meetings, and travel arrangements.
Coordinate complex international and domestic travel, including flights, accommodations, ground transportation, and itineraries.
Handle correspondence, prepare reports, and translate documents as needed (English ↔ Italian).
Oversee special projects, events, and collaborations related to the family’s charitable and cultural interests.
Manage and track expenses, budgets, and reimbursements in coordination with the family office.
Ensure confidentiality, professionalism, and discretion at all times.
Occasionally, accompany the principal during travel or represent her interests in meetings when required.
Qualifications
Minimum 3 – 5 years of experience supporting UHNW individuals, family offices, or executives in an international environment.
Fluent in both English and Italian (written and spoken); exceptional communication skills required.
Bachelor’s degree in Business Administration, Art History, Communications, or a related field preferred.
Strong knowledge or interest in philanthropy, charitable foundations, and the arts.
Excellent organizational, multitasking, and time management skills.
Highly detail-oriented with the ability to anticipate needs and problem-solve proactively.
Comfortable working across time zones and managing international logistics.
Discreet, poised, and professional in handling confidential matters.
Proficiency in Microsoft Office Suite and experience with project management tools.
Must have a valid passport and the ability to travel frequently between New York and Rome.
Must have valid US Work Authorization
