Job Summary :
Our client, a tech investment startup , is seeking a polished and highly organized Administrative / Executive Assistant & Office Manager to support their senior leadership team in Miami. The ideal candidate will bring strong administrative experience, excellent communication skills, and a proactive, service-oriented approach. This role is best suited for someone who thrives in a fast-paced, evolving environment and enjoys providing seamless support across a variety of responsibilities.
Key Responsibilities :
- Provide comprehensive administrative and executive support to three C-suite leaders, including complex calendar management travel coordination , and expense processing
- Serve as a true gatekeeper —proactively managing scheduling priorities, handling conflicting demands, and communicating firmly on behalf of the executives.
- Coordinate extensive domestic and international travel logistics
- Manage day-to-day office operations for the Miami headquarters, including office supply ordering, visitor coordination and hospitality, and maintaining a professional and organized workspace.
- Act as the primary liaison with building management and security, ensuring smooth visitor experiences and overall office functionality.
- Support company transitions, including an upcoming office move to a dedicated space in late summer or early fall.
- Collaborate closely with the Chief of Staff and broader leadership team as organizational structures and processes evolve.
- Remain adaptable to changing priorities, particularly in a fast-paced startup environment with evolving needs and shifting travel schedules.
Qualifications :
Minimum of 3 years of experience as an Executive Assistant, Administrative Assistant, or Office Manager supporting senior executives; prior experience in a startup or consulting environment is highly preferred.Bachelor's degree preferred , though equivalent experience will be considered.Bilingual (English / Spanish) preferred.Strong proficiency in Microsoft Office SuiteProficiency with Concur or similar booking and expense management platforms preferred.Exceptional communication, discretion, and organizational skills with the ability to thrive in an ambiguous, ever-evolving environment.Must be based in Miami, FLWillingness to handle after-hours coordination in emergencies and when executives are traveling or working across time zones.Schedule : Monday–Friday on-site : 8 : 30 AM – 5 : 30PM or 9 : 00 AM–6 : 00 PM (flexibility within this range) – must have flexibility to work after hours if needed.
