Job description

About the Role We are seeking a proactive and detail-oriented Legal Assistant / Client Services Coordinator to support our managing attorney and ensure a smooth client experience. This position combines legal administrative tasks, executive support, and client communication. You will play a critical role in helping cases move forward efficiently while delivering exceptional service to clients. We are looking for someone who takes ownership of their work and enjoys making a positive impact on clients’ lives. Responsibilities :

  • Serve as the executive assistant to the managing attorney, including managing her inbox and scheduling
  • Oversee probate and estate planning files to ensure deadlines are met and client communications are timely and accurate
  • Handle client intake once an engagement agreement is signed, including preparing engagement letters, sending initial invoices, and assisting clients with intake forms
  • Draft, edit, and format estate planning documents and prepare them for execution (adding dates, organizing binders, scanning and emailing executed documents)
  • Enter client data into form drafting software (ProDocs / Westlaw Form Builder)
  • Communicate with clients regarding invoices, document status, and follow-up requests (including providing professional referrals)
  • Respond to and handle routine client inquiries
  • Manage office supplies and coordinate with vendors
  • Support the implementation of new processes and automation tools to improve efficiency Qualifications :
  • Excellent editing and formatting skills
  • Strong written and verbal communication skills
  • Friendly, professional demeanor with clients at all times
  • Highly organized and detail-oriented
  • Proficient with standard office software (Microsoft Office, Adobe)
  • Bonus : Experience with ProDocs / Westlaw Form Builder or similar legal document automation tools
  • Bonus : Familiarity with process automation and workflow improvements in a legal setting Compensation : $38,000 - $50,000 yearly
