Executive Assistant Support
Executive Assistant Support for Robotics and Autonomous Systems Program Executive Office (CG-RAS) 2.2.1 The Contractor must support the CG-RAS Program Executive Officer and Assistant PEOs with the day-to-day administration and maintenance of routine deliverables by providing documentation and administrative support in the areas of communications, data management, technical writing, task and metric tracking, briefings, performance measurement, and meeting support. The Contractor must also promote consistency and standardization and ensure quality and timeliness of deliverables across acquisition programs.
2.2.2 The Contractor must provide administrative support duties such as filing, copying, document routing, onboarding new personnel, managing seating charts, cubical space, maintaining CG-RAS leadership calendars, and coordinating all aspects of government travel for individuals and groups.
2.2.3 The Contractor must support program (virtual and in person) meetings through scheduling, facilitation, note taking, and action item tracking. The Contractor must perform meeting management functions including, but not limited to, electronically scheduling meetings and meeting locations, coordinating attendees, developing and distributing meeting agendas and minutes.
2.2.4 The Contractor must track and maintain task assignments and monitor status of items for executive level staff and initiate response for organizational performance metrics.
2.2.5 The Contractor must be required to perform program-level research to prepare draft correspondence, senior level briefings and reports, program budgets, and associated supporting material.
2.2.6 The Contractor must have at least four years of experience in the high-level administrative aspects for executive level staff of Major / Non-major systems acquisition or sustainment programs. Experience on USCG acquisition / sustainment programs is preferred. The Contractor is expected to perform all functional duties independently. Prior experience with SharePoint, DoD 365, DHS INVEST system, Microsoft Office applications, Power BI and document and task management tracking systems is preferred.
2.2.7 The Contractor must have a thorough understanding of and review / edit program acquisition documentation including (but not limited to) MSAM documents, reports, schedules, briefs, and INVEST submissions and provide feedback to promote consistency and standardization and ensure quality and timeliness of deliverables within the portfolio of aviation acquisition programs.
2.2.8 The Contractor must oversee the compilation and update of the Quarterly Risk Report to Congress, Quarterly Acquisition Brief (QAB), and other portfolio-wide routine reports and data submissions.
2.2.9 The Contractor must research best practices across the spectrum of Federal Government acquisition / sustainment programs for potential application to CG-RAS. The Contractor must research, assimilate data, and assess progress and alternative courses of action within CG-RAS. The Contractor must conduct various research efforts concerning robotics and autonomous system programs and provide reports with recommendations.
2.2.10 The Contractor must actively participate in meetings, discussions, and working groups that contribute to the overall CG-RAS objectives. The Contractor must produce reports, presentations, position papers, and issue papers based on CG-RAS objectives.
