Job Summary

POSITION PURPOSE

This position exists to process payments, local checks and electronic funds for college-wide purchases and transactions so that vendors and expense are paid accurately and timely, billing issues are researched and resolved appropriately, and records are maintained, all in accordance with policies and procedures. This position also provides back up support to the Third Party Coordinator. This position works directly with people from diverse racial, ethnic, and socioeconomic backgrounds and fully supports the College's commitment to equity and inclusion.

PRINCIPLE RESPONSIBILITIES AND RESULTS

  • Priority : Essential Percent of Time : 75%
  • As the Lead Worker, process expenses, process payments, local checks and electronic funds for college-wide purchases and transactions so that vendors are paid accurately and timely, billing issues are researched and resolved appropriately and records are maintained in accordance with policies and procedures. Resolve issues through professional level accounting theory and practice application, financial transaction reviews, reporting, and the development of policies and procedures for the fiscal operations in Accounts Payable.

  • Priority : Essential Percent of Time : 20%
  • Provide back-up support to the Third Party Coordinator. This includes but is not limited to Third Party Invoicing, Student Invoicing, Assisting Students in person or by phone, and filing.

  • Priority : Secondary Percent of Time : 5%
  • Perform other duties as assigned to ensure the smooth functioning of the department and maintain the reputation of the college as a viable educational partner.

    MINIMUM QUALIFICATIONS

  • Two (2) years of working knowledge of Generally Accepted Accounting Principles (GAAP) and accounting system(s) sufficient to query, compile, analyze, interpret, and prepare financial information, records and reports; locate errors; assist in the preparation and maintenance of financial status reports and budget requests; and recommend solutions to procedural or other fiscal problems.
  • Skill in database management (examples : Minnesota Statewide Integrated Financial Tools (SWIFT), or other private or governmental accounting system) sufficient to query and compile records and reports, and assist with preparation and maintenance of spending plans, financial status reports and budget requests.
  • Skill in using word processing, spreadsheet, and other software applications, such as in Microsoft based windows operating systems, to prepare reports, invoices, financial statements, letters, and send email based communication.
  • Skills sufficient to calculate, review, and reconcile data to balance accounts.
  • Skill in training, guiding and mentoring other employees and / or student workers.
  • Ability to read and write a variety of materials in English.
  • PREFERRED QUALIFICATIONS

  • Associate Degree in Accounting, Finance, or a related field plus two years of technical level accounting or finance; or, four years of technical level accounting or finance experience.
  • MnSCU Business and / or Finance Office experience.
  • Demonstrated MnSCU - ISRS accounting system experience.
  • Ability to interpret and explain work procedures and operations and provide advice on fiscal policies and procedures.
