Sr. Medical Office Coordinator
The Department of Medicine, Division of Rheumatology is seeking a Sr. Medical Office Coordinator to independently coordinate day-to-day activities of a multi-faceted medical / research practice to ensure a smoothly functioning office and exemplary patient relations. The Sr. MOC will offer friendly, courteous, and confidential assistance to patients to ensure that the patient has a positive experience while visiting the Johns Hopkins Rheumatology Clinics. Specific duties and responsibilities include :
- Creating new processes and systems to ensure high level of service to patients.
- Scheduling patients for new and return appointments, medical examinations, procedures and consultations.
- Completing pre-registration and prior authorizations to ensure that patient visits, procedures and medications are pre-authorized by third party payers, managed care organizations, and HMO's. Resolving third party issues.
- In partnership with the Access team, directing new patient referrals and assisting with any new patient testing coordination.
- Resolving any scheduling conflicts in a proactive and timely manner. Demonstrating awareness of limitations of institutional resources and seeking to maximize physician scheduling within this context. Effectively utilizing waitlist.
- Providing high level of coordination and communication for international and domestic patients, including scheduling multiple visits within a short time frame.
- Providing exemplary customer service by utilizing service excellence techniques such as scripting, service recovery and rounding to ensure that patient expectations are exceeded during clinic visit. Resolving and / or elevating any patient problems if proactive and timely manner.
- Demonstrating understanding and sensitivity to diversity. Considering cultural and linguistic differences that may impact patient experience and making appropriate accommodations / recommendations to ensure patient expectations are exceeded.
- Printing and mailing directions, maps, fee schedules, doctor's notes, test results and other visit specific information to patients. Sending medical questionnaire forms to patients to obtain missing information.
- Working in coordination with the clinic staff to ensure accuracy, proper organization and advanced preparation of clinic visit documentation.
- Releasing information to patients regarding preparation for laboratory tests and examinations.
- Ensuring that all patient correspondence is transmitted to correct areas in a timely manner to streamline patient processing.
- Assisting patients, physicians and / or family members with the completion of medical insurance forms.
- Informing patients of costs of care being provided and guiding them to appropriate resources for further information or assistance.
- Answering phones and providing routine information to callers. Processing incoming EPIC messages / prescription refills, faxes and mail in a timely fashion.
- Coordinating patient care conferences if necessary.
- Providing cross coverage and / or ancillary support to other rheumatology sub-specialty centers as needed.
- Proactively creating more efficient work processes and workflows; reviewing and analyzing workgroup operating practices such as recordkeeping systems, forms, and workflow systems. Recommending and implementing approved changes.
- Providing other administrative support as needed including schedule conference calls; etc.
Minimum Qualifications :
High school diploma or graduation equivalent.Three years of progressively responsible medical office experience.Knowledge of medical terminology required.Intermediate computer skills.Preferred Qualifications :
Experience in the Johns Hopkins system.Classified Title : Sr. Medical Office Coordinator

Starting Salary Range : $18.20 - $33.90 HRLY ($46,000 targeted; Commensurate w / exp.)
