Office Administrator
Job Summary
The Office Administrator will oversee the office's general administrative functions and activities.
Supervisory Responsibilities
- Oversees the daily working activities of the office
Duties / Responsibilities
Performs or facilitates maintenance of office equipment, including cleaning, maintenance, and repairsProvides clerical support when needed to assist clerical staff with assigned administrative duties such as answering phones, sorting and distributing mail, and preparing documentsMaintains inventory of office supplies; orders new supplies as neededMaintains office files; implements an efficient system for other staff to access files and recordsPerforms other related duties as assignedEmployee event planningKey Responsibilities
Office Operations :
Manage day-to-day office operations and procedures to ensure efficiencyOversee the maintenance of office equipment, supplies, and the workspace environmentEnsure that office areas are clean, organized, and well-maintainedAdministrative Support :
Provide administrative support to senior management and staff as neededPrepare and organize meetings, appointments, and company eventsCoordinate travel arrangements and accommodations for staff as requiredInventory Management :
Order and maintain inventory of office supplies and equipmentMonitor and track budget and expenses for office operationsCommunication & Coordination :
Act as the first point of contact for visitors and external partnersCoordinate internal communication to ensure staff is informed of key developmentsHandle incoming and outgoing mail, packages, and deliveriesTechnology Management :
Oversee the setup and maintenance of office technology systems (computers, phones, software)Troubleshoot minor technical issues and liaise with IT support as neededHealth & Safety :
Ensure compliance with health and safety regulations within the officeConduct regular checks to ensure the office environment is safe and meets legal requirementsSafety Coordinator for the building- Fire Drills (yearly)Event Planning :
Organize company events, meetings, and team-building activitiesRequired Skills / Abilities
Ability to type at least 60 words per minuteExtensive knowledge of office management proceduresExcellent verbal and written communication skillsExcellent interpersonal and customer service skillsExcellent organizational skills and attention to detailExcellent time management skills with a proven ability to meet deadlinesProficient with Microsoft Office Suite or related softwareEducation and Experience
A high school diploma or equivalent is required; an associate’s degree in office administration or a related field is preferredAt least three years of administrative and clerical experience requiredPhysical Requirements
Prolonged periods sitting at a desk and working on a computerMust be able to lift up to 40 pounds at timesPerformance Review with CEO and Director Of HR
