We are seeking a highly organized, detail-oriented, and proactive Part-Time Executive Assistant to support the Chief Innovation Officer (CIO) and provide additional support to the Chief Operations Officer (COO) and Grants Manager as needed. This role is ideal for someone who excels at managing schedules, juggling priorities, and ensuring smooth day-to-day operations within a dynamic team.
Key Responsibilities :
- Manage and maintain the calendar of the Chief Innovation Officer, including scheduling internal and external meetings, coordinating appointments, and proactively resolving scheduling conflicts.
- Provide administrative support to the Chief Innovation Officer, Chief Operations Officer, and Grants Manager, including drafting correspondence, organizing documents, and assisting with meeting preparation.
- Track deadlines, deliverables, and follow-up tasks for key projects across departments.
- Organize and support virtual and in-person meetings, including taking notes, preparing agendas, and arranging logistics.
- Assist with document management, data entry, and light research as requested.
- Maintain confidentiality and professionalism in handling sensitive organizational information.
- Organize travel for the executive team.
Qualifications :
Proven experience as an executive assistant or in a similar administrative support role.Excellent organizational and time management skills with keen attention to detail.Strong communication skills—both written and verbal.Proficiency in Zoho Workspace (Writer, Calendar, Sheets) and / or Microsoft Office.Ability to multitask and prioritize effectively in a fast-paced environment.Professional demeanor with a collaborative and solution-oriented mindset.Preferred Qualifications :
Experience working in nonprofit, innovation, or grant-funded environments.Familiarity with Recovery.Requirements :
Minimum of 2 years of experience as an executive assistant, administrative assistant, or in a similar support role.Experience supporting multiple executives or departments is a plus.Skills and Competencies :
