What would this role do?

The Program Manager (known to the business as Department Manager.) plays a critical role in guiding the professional growth, support, leadership, and supervision to the clinical and administrative staff.

The Program Manager is responsible and accountable to ensuring services, overseeing clinical programs, and monitoring staff under the direction of the Senior Department Manager or the Divisional Vice President (DVP), Operations.

Role Responsibilities

Administrative Duties :

  • Contribute to the development and establishment of services in the site region. Attend monthly operations meeting with the leadership team to review the site metrics.
  • Oversee all operations metrics within the clinic that includes, but not limited to service hours, consumer satisfaction, census, and non-billable hours.
  • Oversee all administrative metrics within the Clinic including but not limited to managing the administrative team and all related job duties, and all tasks are completed and covered within the team.
  • Assign, delegate, and manage special projects.
  • Ensure that the staff of the assigned office meet billable service targets. Delivering the minimum billable services per month.

Managing the minimum caseload of billable services per month.Delivering a minimum of 85% of scheduled direct services monthly.

Ensure all treatment hours are provided to families with minimal or no cancellations, in line with cancellation policy.

  • Create and maintain strong relationships with the funding source, including regional center service coordinators.
  • Ensures sessions are rendered prior to pay period end.
  • Manage all administrative functions of the team including, but not limited to report due dates, staffing goals, new Partner onboarding, and maintaining the client spreadsheet.
  • Maintains and updates client profiles and documentation.
  • Facilitates high-priority incidents with 3rd parties, including families, outside agencies, regional centers.
  • Ensure understanding, implementation, and reinforcement of all company policies and procedures.
  • Maintaining reliable communication to record scheduled appointments and return phone calls within 24 hours.
  • Ensuring that the company’s zero tolerance policy is understood, implemented, and reinforced in the region.
  • Ensuring that Health Insurance Portability and Accountability Act (HIPPA) compliance is understood and reinforced in the region.
  • Complying with all Mandated Reporting Laws and Regulations

Clinical Job Duties :

  • Provide case supervision, based on need and contract.
  • Create, individualize, maintain, evaluate, and supervise client plans.
  • Provide consultation to Supervisors and conduct monthly meetings to review : Barriers, Cancellations, and Service utilization.
  • Communicate with Caregivers regarding services, concerns, frequent cancellations, and lack of adherence to the scheduled sessions.
  • Oversee and train staff in line with the company’s training procedure.
  • Supervise and monitor completion of report for timely submission and revisions for the following but not limited to reports, assessments, intake packets, and special incident reports.
  • Provide case consultation and caseload management support to Supervisors as needed.
  • Supervise, train, mentor and monitor assigned supervisors in training.
  • Build best practices and support all teams for your site.

Must Haves

  • Must possess bachelor’s degree in ABA, Psychology, Special Education, or related field.
  • Minimum of 2 years of supervision or clinical experience.
  • Excellent clinical and leadership skills.
  • Fluency with all Microsoft Office programs.
  • Self-motivated, responsible, honest, articulate, excellent time management skills, and skills to work independently.
  • Professional demeanor, well-organized, and attention to detail.
  • Skills consistent with serving culturally and linguistically diverse families in low and high socio-economic status areas.
  • Comfortable working in homes (studio apt. housing project, etc.) of families with limited resources.
  • Demonstrate effective communication skills to interact with Clients, family members, and agency’s staff.
  • Commitment to ethical practice and ongoing professional development.

Nice to haves

Preferred clinical experience of : Direct service delivery with individuals with varying diagnoses, diverse levels of functioning, and broad range of ages.

Program Design included but not limited to data collection and curriculum.Writing progress reports.Ability to work collaboratively with a multidisciplinary team and actively participate in team meetings for Client and family well-being.

Expertise in assessment and intervention strategies.

Preferred 2 years’ of supervision experience including Formal performance evaluation of junior staff.Mentoring and coaching to more junior staff with respect to administrative tasks and direct therapy.

Client program development across skill levels, moderate to severe problem behaviors, and service delivery settings.

Preferred 6 months business management experience and P&L ownership.
