1818 Advanced College Credit Program Assistant

Job Summary
Under direct supervision of the 1818 Program Director, assists the Director and all other staff in administering the 1818 Advanced College Credit Program.
Job Duties
Triage and respond to telephone, e-mail, and social media inquiries from all constituencies; provide direct counsel as appropriate; distribute inquiries to the appropriate staff for follow-up as necessary; communicate policies and procedures
Help plan and coordinate meetings and special events (conferences, training programs, celebrations, etc.)
Update student, faculty, and administrative records and databases; address records with discretion
Maintain office project management calendar
Make and coordinate travel arrangements for office staff
Order office supplies as needed; coordinate maintenance services for office equipment
Process reimbursements, interdepartmental fund transfers, and other basic financial transactions
Prepare financial and administrative reports
Train and supervise student workers; assist with student worker hiring
Perform special projects and other duties as assigned
Required Knowledge / Skills / Abilities for Consideration
Advanced understanding of MS-Office software, particularly Word and Excel
Ability to learn new software systems (related to student admission, registration, billing, etc.)
Strong interpersonal and communication skills
Strong analytical skills and attention to detail
Ability to interpret instructions and explain to others (includes helping students, parents, and faculty find information via SLU online systems)
Interest in working with / helping solve problems for young adults and their parents
Comfort with multi-tasking daily, dealing with a diversity of situations and constituencies, and working in a fast-paced environment according to established deadlines
Ability to work in a team-oriented environment
Intellectual curiosity and a commitment to continuous improvement
Ability to manage difficult situations with patience, empathy, and grace
Minimum Educational Requirements and Experiential Qualifications
Administrative Assistant I :
High school diploma or the equivalent
1+ year of related administrative experience - in a secondary or post-secondary education setting preferred - either as a student worker in a similar setting or professionally
Administrative Assistant II :
High school education or equivalent; supplemented with three to five (3-5) years of related experience
Preferred Educational Requirements and Experiential Qualifications
Associate's degree preferred
Knowledge of college admission policies and procedures
Knowledge of college registration policies and procedures
Knowledge of collegiate academic programs and issues related to transfer courses
