Advancement Coordinator
The Advancement Coordinator will provide vital administrative and operational support to the Advancement team, ensuring smooth execution of both Development and Communications activities. This role is essential in helping City Relief achieve its fundraising and engagement goals by supporting day-to-day operations, managing data, and assisting with events and donor communications.
Key Responsibilities
Donor Services & Event Support :
- Utilize high-quality customer service skills to engage with donors and partners in a professional and courteous manner.
- Assist with gift imports, gift receipts, check deposits, and the gift appreciation process. Coordinate quarterly staff thank-a-thons to increase reach-outs to donors and volunteers.
- Coordinate donor management processes, including updates in the Virtuous CRM, managing donor inquiries, ensuring accurate donor records, ensuring pledges and gift asks are added / updated in Virtuous, etc.
- Provide logistical support for events, including coordinating materials, planning details, and on-site logistics, managing registration & RSVPs, managing sponsorship benefits, and supporting sponsor communications as needed.
Communications Support :
Assist in creating and scheduling newsletters, emails, and other communications, ensuring consistency with City Relief's processes.Support social media engagement by responding to comments and DMs, creating ad hoc stories / posts to support engagement strategies, and assisting with content collection at outreach and other events.Assist with maintaining website accuracy, adding newsletters to the blog section, and other website edits and support.Help manage a repository of images and videos, supporting the Creative Director in maintaining organized digital assets.Other Administrative Support :
Help to optimize Virtuous to increase efficiency with ongoing processes and support team needs by leveraging automation, reports, and other features.Support the Advancement Manager with reporting requests / needs and data analysis.Help develop and implement donor relationship-building workflows and communication workflows for all contacts, donors, volunteers, and church / company partners.Organize and manage Google Drive files and ensure all documentation and SOPs are kept up to date.Ensure ongoing operations align with defined processes and SOPs
