This is a remote position.
The Data Entry & Records Clerk at our behavioral-health treatment facility plays a key role in the accuracy and maintenance of all operational and clinical data. This position supports admissions, treatment services, discharge summaries, billing, and records management by entering data, maintaining records, and ensuring the integrity of the facility’s documentation systems. Your efforts will enable our clinical and administrative teams to focus on delivering high-quality care without being hindered by data errors or documentation delays.
Key Responsibilities
Enter data from a variety of source documents : intake forms, treatment logs, service records, discharge summaries, vendor invoices, and billing adjustments.
Review documents for completeness and accuracy before entry; follow up with team members to clarify missing or ambiguous information.
Maintain organized filing systems (both digital and physical) ensuring records are accessible, properly archived, and meet retention standards.
Generate regular reports on data entry volume, error rates, backlog status, and share findings with supervisory staff.
Assist with administrative duties as needed, such as scanning documents, preparing files for audits, coordinating record retrieval requests, and supporting the billing department with documentation.
Maintain strict confidentiality of patient, staff, and operational records by adhering to privacy standards and facility protocols.

High School diploma or equivalent required; Associate’s degree or coursework in office technology, medical records, or data management preferred.
Strong typing and data-entry skills with excellent accuracy and attention to detail.
Proficiency in Microsoft Office (Excel, Word) and ability to learn new data / records systems.
Good organizational and time-management skills; ability to handle multiple tasks and meet deadlines in a fast-paced environment.
Effective communication skills to collaborate with clinical, treatment, and administrative teams when resolving data discrepancies.
Commitment to operating with confidentiality and integrity within a regulated healthcare environment.
Previous experience in healthcare, records management, or behavioral-health setting is a plus but not required.

Requirements
High School diploma or equivalent required; some college or related credential preferred. Previous experience working in a behavioral‐health, psychiatric, substance‐use or related facility preferred. Must obtain certifications such as Basic Life Support (BLS), Crisis Prevention Intervention (CPI) or similar de-escalation training (often required within first 30 days of hire). Excellent interpersonal skills, crisis‐intervention ability, and strong observational and documentation skills. Must be at least 21 years old (in some roles) and able to pass required background / criminal checks. Commitment to working flexible schedules including nights, weekends and holidays (12-hour shifts).
