We are seeking a detail-oriented and proactive Administrative Assistant / Compliance Coordinator to assist in managing the day-to-day operations of our community association. Under the direction of the Association Manager and the VP of Onsite Client Services, this role supports compliance, operations, communications, and financial tasks, contributing to the efficient and effective running of the association.
Key Responsibilities :
Covenants & Compliance :
Conduct property inspections for covenant violations and ensure timely enforcement of governing documents.
Issue violation notices and follow up on outstanding issues.
Process ACC submissions and assist with Modifications Committee coordination.
Maintain detailed records of violations and communicate updates to the Association Manager.
Operations & Administration :
Assist in all aspects of community operations, including vendor communication, common area inspections, and report generation.
Maintain files for governing documents, minutes, reports, and other business materials.
Handle reservations for community amenities and ensure accurate record-keeping.
Perform general office duties such as ordering supplies, filing, and handling incoming mail.
Communications & Customer Service :
Answer calls and greet visitors in a professional, friendly manner.
Maintain positive relationships with homeowners, responding promptly to inquiries and requests.
Draft and send community communications, including newsletters and broadcast emails.
Update and maintain vital community information in CINC database.
Financial & Reporting :
Assist with gathering information for audits and preparing documents for Board review.
Review and process invoices for approval by the Association Manager.
Support in the preparation of operational budgets and financial reports.
Qualifications :
High school diploma or GED required.
Minimum 2 years of related experience in administrative support or community association management.
Strong communication skills (written and verbal) and customer service orientation.
Ability to prioritize tasks, work independently, and manage time effectively.
Proficiency in MS Office Suite and experience with CINC or similar property management software is a plus.
