Executive Assistant
As our Executive Assistant, you will :
- Be responsible for word processing and spreadsheet requirements for Board members, Senior Management Team, and President / CEO. Handle major document preparation projects, coordinating, photocopying, collating, and distributing for these groups.
- Prepare monthly Board reports and coordinate distribution and receipt of materials by Board members.
- Maintain the master records of corporate documents, Corporate Policy Manual, Board Committee and Board materials. Process and file confidential reports, records, and documents.
- Update, duplicate, and distribute ACU Corporate Policy manual, ByLaws, Rules and Regulations, ASI letters, and other materials as required to appropriate staff, auditors, and Board members.
- Screen the President / CEO's incoming phone calls, arrange appointments, and prioritize and organize daily mail. Conduct courtesy reminder calls or e-mails to individual Directors to remind them of scheduled meetings. Call out-of-town directors to schedule attendance at committee and board meetings and supply them with needed materials.
- Track education seminars for board. Assist Board Education and Development Committee as needed.
- Schedule board conference room for monthly and special Board and Committee meetings. Attend Board and Committee meetings and draft meeting minutes to be reviewed by appropriate Committee Chair and President / CEO prior to distribution.
- Write meeting minutes for senior management meetings as needed prior to approval by meeting attendees.
- Handle all arrangements for CEO and Directors regarding official travel including registration, hotel, flight, and car rental arrangements. Stay current with policies for travel reimbursement and assure that reimbursements are made as authorized.
- Handle signature updates for all banks, brokers, other financial institutions, and Illinois Department of Financial & Professional Regulation (IDFPR) as needed. Handle bylaw changes and other approvals from the IDFPR.
- Work as liaison with Nominating Committee with meetings, advertising, promotion, and mailings in conjunction with the election of directors.
- Organize annual meeting of members including hall rental and setup, meals, annual meeting reports and works with marketing department on door prizes.
- Update Strategic Business Plan and keeps history of updates.
Requirements :
High school graduateMinimum three years secretarial or administrative experienceProficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint) including the ability to create documents, presentations, and spreadsheets from either templates or scratch, and schedule using Outlook.Possesses excellent oral and written communication skills.Strong, positive interpersonal skills with ability to maintain strict confidentiality.Able to work well independently.Experience supporting C-Level Executives highly preferred.Secretarial or administrative experience in financial institution environment preferred.Benefits :
