Johnson Pope Bokor Ruppel & Burns, LLP is seeking a full-time Legal Administrative Assistant (LAA) to join our Tampa office, supporting both our Litigation and Commercial Real Estate practice groups. The ideal candidate will be a proactive, highly organized professional with the ability to manage a diverse workload and prioritize tasks efficiently across two dynamic teams. .

Position Overview
The LAA will perform a wide range of administrative and legal support functions, ensuring the smooth operation of both practice areas. This includes supporting attorneys and paralegals in litigation matters-ranging from discovery through trial-and providing transactional support for commercial real estate deals, such as coordinating closings and maintaining documentation.
Requirements
Key Responsibilities :
- Prepare, proofread, and edit legal documents and correspondence for accuracy, including spelling, grammar, punctuation, format, and content.
- Calendar management, including scheduling court appearances, depositions, meetings, hearings, and deadlines.
- E-file documents with Federal and Florida State Courts in accordance with court rules and procedures.
- Assist attorneys with preparation for hearings and other litigation-related events, including ensuring that all materials are timely submitted in accordance with the court's specific preferences.
- Manage client and discovery-related documents, including organizing client materials and work product within our document management system.
- Prepare and revise real estate transaction documents such as closing binders, leases, purchase agreements, and title / survey review documents
- Coordinate closing schedules, deadlines, and documentation with clients, title companies, and other third parties
- Track progress on deal checklists and assist attorneys in maintaining timely follow-up with all transaction stakeholders
- Enter attorney's time for client billing.
- Review and edit pre-bills, ensuring they are ready for attorneys' review and approval.
- Submit new business intake and conflicts checks and opening / closing of client matters.
- Answer telephone calls and routine questions from clients and team members, and / or routing calls to appropriate staff.
- Perform administrative duties such as client file management, general correspondence, expense reports, CLE tracking, check requests, and other administrative tasks.
Essential Knowledge, Skills, and Abilities :
Strong knowledge of state and federal court rules and filing procedures, including e-filing systemsFamiliarity with real estate transactions, terminology, and closing processesProficient in Microsoft Office (Word, Excel, PowerPoint), with the ability to quickly learn other programs. Experience in iManage and Aderant is a plus.Excellent communication skills, both written and oral.Strong organizational and administrative skills.Attention to detail with strong organizational and time management abilities.Client service-oriented with the ability to effectively communicate with clients and team members.Ability to multi-task , prioritize tasks, and work under pressure to meet deadlines.Confidentiality and professionalism in handling sensitive information.Ability to work extra hours as needed.Self-motivated with a willingness to learn.Educational / Job Experience Requirements :
High school diploma from an accredited institution.A minimum of three (3) years of experience in a law firm environment with focused support in both Litigation and Commercial Real Estate.Experience with trial preparation and litigation in State and Federal courts is strongly desired.Office Location : Tampa, FL (In-person)
