Title : Secondary School Administrative Assistant. Supervisor : Middle / High School Principal. Classification : Non-exempt. Description : The Secondary School Administrative Assistant is under the supervision of the Secondary Vice Principal and Principal. General responsibilities include administrative and clerical tasks, ongoing support to the Principal, Faculty, and Staff, daily office needs, and clerical work of the school. Duties include school office operations, and assisting the Principal in non-decision-making management (e.g., communication, record keeping, calendar management, arranging substitutes, planning events).

One to two years of increasing responsibility in a school office setting (preferred).Certified (or willing to become certified) to administer first aid / CPR on an emergency basis.Familiarity with office software (Microsoft Office, Google Drive / Docs) and database systems (e.g., RenWeb desirable).Ability to compose routine letters and correspondence.Essential Qualifications
Clerical DutiesSchedule, monitor, and record substitutes for Middle and High School with HR.
Record and inform the Assistant Principal / Principal of any discipline issues.Input student discipline records into the appropriate system (RenWeb / Rancho Central as applicable).Maintain dress code awareness and warm, friendly interactions with students.Track attendance, call homes for unexcused absences, and prepare reports.Prepare reports for Vice Principal and Principal; manage purchases and purchasing records.Become Livescan certified and manage communications with teachers and staff.Assist in planning events and managing office activities to minimize classroom interruptions.Communication DutiesInput Kissflows / Event Plans for school events; inform teachers of upcoming events and deadlines.
Prepare letters, newsletters, and reports; manage communications with Marketing for signage and projects.Draft general letters and materials for events (Open House, Eagle Day, Ranchopalooza, etc.).Duties Relating to Meeting and Dealing with PeopleWelcome and assist parents and visitors; manage phone and in-person inquiries.
Coordinate with Livescan volunteers and supervise when appropriate.Coordinate with school health staff as needed; communicate with families about illnesses.Financial DutiesProcess purchase orders and manage monies received; maintain accounting records and reimbursements.
Miscellaneous DutiesCoordinate fire drills across all Rancho Christian campuses.
Maintain office furniture and organize activities to minimize classroom interruptions.Assist in field trip planning, including driver clearance and paperwork; coordinate with accounting for payments.Assist with year-end ceremonies, publications, and communications to families.Other Expectations
Full-time, year-round; typically Monday–Friday with occasional evenings or weekends as needed.Non-school days may apply except on scheduled holidays.Participate as a member of the administrative team; maintain responsive phone / email communications.Attend faculty meetings and assist with major school events as directed.Perform other duties as assigned.Seniority level
