YWCA Utah is hiring an Executive Assistant to the CEO. This is not your average admin job. This role is for someone who is organized, creative, reliable, and adaptableand who wants to grow alongside a mission-driven leadership team. Youll be working in close partnership with the CEO and leadership collective, supporting governance, operations, and big-picture strategy. Training will be available, and what matters most is your passion, drive, and desire to learn, grow, be mentored, and make change.

Position Summary
The Executive Assistant to the CEO plays a critical role in advancing YWCA Utahs mission by ensuring the effectiveness of the CEO and leadership team. This role requires high-level administrative support, proactive problem-solving, and strategic foresight. The Executive Assistant serves as a trusted partner to the CEO, manages board governance processes, and ensures the flow of communication across the organization and with external stakeholders.
This position demands reliability, confidentiality, flexibility, creativity, and strong technical and organizational skills.
Essential Job Functions
Executive & Administrative Support
Manage CEOs calendar, email, travel, meetings, and daily priorities with accuracy and efficiency.Anticipate next steps, prepare materials, and ensure the CEO is equipped for all meetings and decisions.Draft, edit, and organize communications, presentations, reports, and correspondence.Maintain a high degree of confidentiality and discretion in all matters.Board Liaison & Governance Support
Coordinate all aspects of Board of Directors and committee meetings, including scheduling, agenda preparation, materials distribution, and minutes.Support board recruitment, orientation, and engagement processes.Serve as a reliable point of contact for board members and foster strong relationships.Leadership Team Partnership
Provide logistical and administrative support to the leadership collective.Track projects, deadlines, and follow-up items to ensure accountability.Support organizational communication and alignment across teams.Operational Excellence
Collect and analyze data to support CEO decision-making and reporting.Use Microsoft 365, Excel, and other systems to manage information and improve workflows.Ensure processes are organized, efficient, and forward-thinking.Assist with special projects, events, and initiatives as assigned.Competencies & Essential Skills

Bachelors degree or equivalent professional experience preferred.3+ years of administrative, project management, or related experience; nonprofit experience a plus.Demonstrated ability to maintain confidentiality in sensitive matters.Strong interpersonal skills, with experience working in diverse and multidisciplinary settings.Skilled in Microsoft 365 (Excel required; PowerPoint, Teams, and Outlook preferred).Experience in data collection, organization, and analysis strongly preferred.Ability to work independently, manage time effectively, and prioritize competing demands.Availability for occasional evenings and weekends for board or organizational events.Must be able to pass a criminal background screening.Physical / Sensory Demands
Work is generally performed in a safe office environment. While performing the duties of this job, the employee is regularly required to :
