Position Summary :
We are seeking an experienced, polished, and proactive Senior Financial Analyst to own telecom expense management operations across a large, multi-site organization (1,000+ offices and growing). This role is responsible for all financial aspects of telecom services, including high-volume data extraction and cleansing, database maintenance, budgeting and forecasting, invoice auditing, variance analysis, contract oversight, and vendor coordination.
The ideal candidate is an Excel expert with strong analytical experience, a well-rounded understanding of the financial / billing process, and the confidence to actively manage vendors-pressing for answers, driving resolutions, and not waiting passively for information. Familiarity with telecom invoicing, general ledger processing, and billing dispute resolution is strongly preferred.
Key Responsibilities
1. Telecom Expense Management (TEM)
- Own the financial analysis and monthly reconciliation of all telecom-related spend across a large number of offices, including new locations added each year.
- Oversee the telecom expense management function, ensuring accuracy, completeness, and compliance.
- Maintain the telecom database and ensure data integrity across multiple systems and sources.
- Identify billing discrepancies and manage resolution processes with service providers.
- Recover overcharges and implement procedures to prevent future billing issues.
- Analyze telecom spending and identify trends and cost-saving opportunities.
2. Day-to-Day Data & Analysis Work
Heavy Data Extraction & Cleaning
Pull billing data from multiple telecom vendor portals (e.g., several primary vendors and additional regional or specialized providers).Export raw data from each portal and standardize it in Excel.Map vendor naming conventions to internal naming conventions using VLOOKUP, INDEX-MATCH, and other advanced Excel functions.Clean and structure large datasets to prepare them for analysis and reporting.Data Consolidation & Modeling
Feed cleaned data into existing, complex Excel models used to track and forecast telecom spend.Maintain and adjust mappings for new offices or services, and troubleshoot formula or logic issues.Consolidate data from multiple sources into a single, reliable "source of truth" for reporting and analysis.Month-to-Month Analysis & Reporting
Perform detailed variance analysis by office, vendor, and product type.Identify rate changes, late fees, anomalies, or billing errors and document findings.Prepare clear, concise executive summaries explaining month-over-month changes (e.g., spend increases due to new offices, rate increases, fees, or pending credits).3. Contract Management
Review and assess telecom contracts to ensure favorable terms and competitive rates.Maintain a contract database, tracking effective dates, renewals, and key milestones.Monitor vendor compliance with contractual terms and escalate / resolve issues when necessary.4. Vendor Management
Lead regular meetings with telecom service providers, driving the agenda and action items.Actively push for answers on billing discrepancies, chase credits, and ensure disconnects are fully removed from invoices.Track and manage new circuit activations and disconnects from a financial and billing perspective.Hold vendors accountable to service levels, pricing agreements, and contractual commitments.5. Reporting & Performance Measurement
Prepare reports on telecom expenditures, trends, and optimization initiatives.Develop and track KPIs to assess the effectiveness of telecom expense management.Create dashboards or summary reports for finance leadership and other stakeholders.6. Cross-Functional Collaboration & Project Support
Collaborate with Finance, IT / Infrastructure, Procurement, and Operations teams to ensure accurate and efficient management of telecom costs.Support initiatives such as service migrations, upgrades, and cost-reduction projects.Coordinate stakeholders, track progress, and provide regular status updates on key initiatives.Partner with IT or technical teams at a high level to understand service changes that may impact billing and cost structures.7. Financial Operations
Lead budgeting and forecasting for telecom expenses, including run-rate analysis and scenario modeling.Submit month-end accruals and allocate invoice costs appropriately across locations, cost centers, and GL accounts.Coordinate invoice processing and payments in collaboration with Accounts Payable.8. Additional Responsibilities
Recommend and help implement process improvements, including automation opportunities (e.g., macros, scripts, or other tools).Perform other duties as needed to support financial operations and organizational goals.Required Qualifications
Bachelor's degree in Finance, Accounting, Business, Information Technology, or a related field.5-7 years of experience in expense management, financial analysis, or contract management.Expert-level skills in Microsoft Excel, including :Pivot tables
VLOOKUP / INDEX-MATCH and similar lookup functionsData cleaning and transformation for large datasetsBuilding or maintaining complex Excel models and consolidating data into a single modelProven experience performing variance analysis, reconciliations, and working with general ledger data.Demonstrated ability to work with large volumes of raw, messy data and "make sense of it all."Strong vendor management and communication skills, with a track record of directly resolving billing or contract issues.Preferred Qualifications
