Legal Assistant and Vendor Compliance Specialist

Position Summary / PurposeAssist General Counsel in administrative tasks related to legal services.Achieve, monitor, and maintain compliance with contract requirements of assigned vendorsComplete requests for proposals, qualifications, and other bid documentation as appropriate*This position is Hybrid / Remote and qualified candidates have the ability to commute to our office in Naperville, Illinois.

Principle Duties and Responsibilities

  • Perform property records searches
  • Utilize Westlaw and other sources to retrieve caselaw and perform research
  • Type and format documents using Microsoft Word and Excel
  • Maintain attorney calendar and docket upcoming dates / deadlines
  • Organize and file pleadings, correspondence and other documents
  • Draft routine correspondence, and other documents
  • Assist in preparation of briefs, pleadings, and other documents for filing in compliance with applicable rules in federal, state and county venues
  • Assist attorney during depositions, trials, and hearings
  • Ensure request for proposals, request for qualifications, and other bid opportunities are completed in a timely manner
  • Complete vendor applications as requested
  • Ensure vendor platforms are updated and compliant
  • Organize and maintain vendor related logins, documents, and files
  • Build and maintain inventory of vendor compliance

Additional Duties and Responsibilities

  • Attend departmental and company meetings as required.
  • Answer phones when necessary
  • Provide other ad hoc support in completing applications and other documentation

Working Relationships and Scope

  • Work with Finance team to obtain necessary data to complete applications and other submissions
  • Communicate with Business Development lead to determine whether compliance should be maintained upon renewal for vendors
  • Work with other departments as appropriate to build inventory of information frequently needed for applications and other submissions

Qualifications - Knowledge, Skills and Abilities

  • Education and Experience - Associate degree in paralegal studies, business, marketing or related field required with a bachelor’s (4-year) degree Five (5) to seven (7) years of relevant experience.

Compensation : $50,000.00 - $55,000.00 per year
