Our client is a creative producer with writing and producing credits on popular TV shows. The long-time assistant is moving on, and we are looking for a wonderful Executive Assistant to join as part of the team.
You will work out of a lovely office in West LA, Monday–Friday, usually 9am–5pm, and be on call for as-needed calls and emails. You'll manage the executive's business life and run the office.
Responsibilities
- Manage complex calendars and coordinate executive scheduling.
- Arrange meetings and appointments as needed.
- Draft, review, and handle executive correspondence.
- Facilitate signatures and manage sensitive confidential documents.
- Oversee and respond to publicity requests and invitations on behalf of executives.
- Manage and troubleshoot executive device needs (phones, laptops, etc.).
- Oversee office maintenance and cleaning schedules with vendors.
- Coordinate IT and audiovisual support for the office.
- Track and manage office bills and expense reports.
- Ensure office supplies are stocked and reordered as needed.
- Maintain document management systems for filing and record-keeping.
- Update and maintain the office manual, ensuring procedures and policies are current.
Qualifications
Proven experience as an Executive Assistant, Office Manager, or similar administrative role.Strong organizational, communication, and interpersonal skills.Ability to maintain confidentiality with sensitive information.Tech-savvy, with experience managing devices and basic IT / AV troubleshooting.Capable of handling multiple priorities in a fast-paced, professional environment.Salary and Benefits
Salary offered : $150,000 per year, DOE, plus excellent health insurance, 401k, and generous PTO.
